We are currently recruiting for a permanent
full-time Technical Administrative Assistant with a primary focus on optimizing business flow within our Service Department.

This role requires a proactive individual whose primary focus will be responsible for accounts receivable management for the department along with providing administration, coordination and reporting functions.

This position is based out of Red Deer and requires in-person availability each day between 8:00 am and 4:30 pm.


Responsibilities:


  • Document Control: Maintain organized records of service requests, work orders, and customer interactions. Ensure all documentation is complete, accurate, and easily accessible on SharePoint.
  • Accounts Receivable Management: Handle accounts receivable functions, including generating and sending invoices, monitoring payments, and following up on overdue accounts. Collaborate with the finance department to reconcile accounts and resolve discrepancies.
  • Data Analysis and Reporting: Compile and analyze data related to service operations, accounts receivable, and other relevant metrics. Generate reports and provide insights to support decisionmaking and performance evaluation.
  • Customer Support: Respond to customer inquiries to ensure high level of customer satisfaction. Coordinate with department Planner and Scheduler to address customer concerns promptly and effectively.
  • Business Flow Optimization: Implement and refine processes to enhance the efficiency of service operations. Identify bottlenecks and areas for improvement and collaborate with department heads to implement solutions.

General Support:


  • Create a welcoming experience through answering phones, greeting clients & team members.
  • Tackle miscellaneous tasks and projects as they arise, demonstrating flexibility and willingness to take on new challenges as needed to support the departments and organizational goals.
  • Work closely with team members from various departments to facilitate communication and collaboration.
  • Accurately produce, type and assemble material from rough notes, handwritten information and conversations to a professional quality document.

  • Postsecondary diploma in Business Administration, Information Technology or a related field, relevant experience will be considered in place of educational requirements.
  • Proficiency in MS365 (Outlook, Teams, and SharePoint) and experience with database management software.
  • Basic understanding of accounting principles and experience with accounts receivable functions. Exposure to financial accounting software would be an asset.
  • Excellent communication and interpersonal abilities, with a customercentric approach within a hectic environment.
  • Must have good listening skills, speak clearly and concisely, and be able to respond courteously to inquires.
  • Adaptability and problemsolving skills to thrive in a fastpaced environment.
  • Familiarity with service management software or CRM systems is a plus.
  • Knowledge of business processes.
  • Must be prepared to continue the learning process and show an aptitude to enhancing skills and use with respect to technology in the office.
