Reporting to the Manager & Associate Registrar, Graduate Studies, and working closely with the Graduate Program Directors and Lead, Graduate Recruitment, Alumni & Community Engagement, the Gallery, Events and Studio Coordinator is responsible for coordinating graduate program events, guest lectures, exhibitions and workshops.

The position plays a key role in supporting the in-person student experience, as well as providing general support to the School of Graduate Studies (SGS).


Summary of Responsibilities:


  • Schedule and support events and exhibitions in the SGS exhibition spaces
  • Liaise with the University Gallery System and Studio Services on behalf of SGS
  • Maintain processes and policies that reflect best practices in galleries
  • Support the maintenance and upkeep of SGS spaces (galleries, program facilities, student studios) and equipment
  • Support students with coordinating access to shops and studios including the removal of hazardous waste from the student studios
  • Coordinate student and faculty access to SGS spaces and assist with booking space for projects, exhibitions and coursework
  • Support SGS and Graduate Program exhibitions, events, studio visits, workshops and conferences by working closely with university staff, Graduate Program Directors (GPDs), faculty and student organizers
  • Coordinate all aspects of SGS events including: catering, space bookings and set up, invitations, communications, guest lists, event staff, permits, etc.
  • Work closely with Campus Life and the OCAD Student Union to support the organization of student initiated social gatherings and exhibitions
  • Work closely with the GPDs and faculty to act as a central point of coordination for guest lectures and in class guests, including acting as a host for visiting partners, researchers and guest speakers
  • Work closely with SGS recruitment, alumni engagement and admissions staff to support New Student Orientation and Alumni Engagement Events
  • Support the ordering, tracking, and signing out of equipment for the Graduate Gallery, Graduate Programs and SGS
  • Arrange payments for guest speakers in accordance with OCAD U policies. Collect and process financial paperwork related to events, student reimbursements and equipment purchases
  • Support the updating of social media and SGS website with events and exhibition information.
  • Identify students at risk or in crisis and make appropriate referrals to resources and supports
  • Maintain strict compliance with university regulations regarding privacy and confidentiality and other relevant policies and procedures
  • Assist the Manager and Associate Registrar, Graduate Studies and the Dean of Graduate Studies with other tasks, duties and special projects as assigned contributing to the successful operation of the School of Graduate Studies

Qualifications:


  • Postsecondary degree or equivalent; a graduate degree in an arts and designrelated field is an asset
  • A minimum of two (2) year of event planning and gallery coordination preferably in a University or College department dealing with an art and design exhibition and graduatelevel programming
  • Demonstrated knowledge of exhibition installation and gallery / studio maintenance
  • Excellent technical computing skills, including the ability to create documents, forms and templates using Microsoft Office Suite and appropriate Adobe programs; ability to create accessible PDFs and documents
  • Proven ability to meet deadlines and work well with high volume, pressure and changing priorities
  • Demonstrated commitment to client service, specifically students, staff, faculty and external contacts
  • Excellent interpersonal and oral and written communication skills
  • Demonstrated attention to detail, organizational skills, and the ability to take initiative
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
  • Flexibility in work hours; must be willing and able to work occasional evenings or weekends, as required

Compensation:

Hiring Range - $47,259.83 to $54,056.84 per annum, commensurate with experience, plus benefits; Salary Range - $47,259.83 to $61,314.09 per annum.


Hours of Work:
Total of 35 hours per week. The incumbent in this role will be expected to report to work on campus.
