Your future duties and responsibilities


1.


Executive Administrative Support:


  • Provide confidential executive support to one or more Vice-Presidents and their Director teams
  • Schedule internal and external meetings, providing proactive and realtime calendar management
  • Screen requests to determine priority level, including visitors, phone calls, and incoming correspondence. Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations and news releases.
  • Facilitate smooth communications between the executive and coworkers and between the executive and external parties such as customers, media, and the public.
  • Handle external requests with tremendous tact and diplomacy
  • Maintain administrative procedures, including business mail, travel arrangements, expense reports, authorizations and approvals, etc all in line with company policies and procedures

2. Project Co-ordination:


  • Assist with the planning, coordination, organization of all requirements of large scale events, conferences and executive team activities
  • Assist with preparation of multimedia presentation material, collateral and theme strategies using MS PowerPoint, MS Word and MS Excel
  • Create planning documents and liaise with specific partners, vendors or suppliers
  • Manage timeframes and budget related requirements
  • Participate in special project assignments on an asrequired basis

Specific Qualifications for the role:


  • Minimum 5 years senior executivelevel administrative support experience in a large professional organization
  • Resourceful and intuitive selfstarter, able to thrive in a fastpaced, dynamic setting and enjoy multitasking in a technical and administrative environment.
  • Extremely proactive, with an energetic and professional demeanor and high sense of urgency
  • Proven achiever and polished professional
  • Resourceful, with the ability to prioritize, multitask and meet deadlines with mínimal supervision
  • High level of professionalism, customer service, energy, speed and accuracy
  • Independent judgment, absolute discretion and diplomacy
  • Confidential, dedicated and punctual
Required qualifications to be successful in this role

  • Excellent communication skills (verbal and written); French language would be an asset
  • Advanced planning and organization skills
  • Professional corporate image combined with strong interpersonal skills
