Reporting to the Manager of Guest Services Network, As Coordinator, the daily front line operations of both the Housekeeping and Patient Transporting departments are your responsibility.

Working with Managers/Director to ensure that WRH is aligned with current industry standards and that the department adheres to all regulations, departmental and organizational policies.


RESPONSIBILITIES:


  • Maintain a working relationship with the WRH IPAC team. Know the current standards, remain up to date on any industry changes. Ensure that the Housekeeping practices are aligned with current standards and are consistent between all WRH sites. Monitor the HAI's within the hospital and collaborate with Infection Control regularly. Escalate any budgeting requests for additional cleaning to Manager. Be a resource for all areas on cleaning practices and chemical usage, giving reccomendations based on best practice and knowledge of products.
  • Educate and enforce frontline staff compliance with departmental and organizational policies for PPE usage.

Ministry of the Environment - C4 guidelines, HWIN, waste classifications

  • C4: The Management Of Biomedical Waste In Ontario. Often regulations change. i.e Dialysis tubing used to be classed as biomedical waste. This has now changed and can be placed in the regular waste stream. Have the current C4 guidelines readily available for reference.
  • HWIN: HWIN allows hazardous waste generators, carriers, and receivers to register their activities with the ministry online.
It also enables users to create and process electronic manifests and to pay hazardous waste fees. Ensure all copies of manifests are intact and that WRH hazardous waste classes are registered correctly. Ensure all invoices are paid.

  • Ontario waste classes: Have an understanding of the Waste classifications, subclassifications, and which category all waste produced, within WRH, falls.
  • Ensure that WRH is being environmental conscious and has a robust recycling program. Actively participate in researching and sourcing new ways to reduce WRH's environmental footprint.
  • Ensure that all training and reference materials for Supervisors are updated and communicated.
Maintain working relationships with all of WRH's contracted waste companies. Complete vendor reviews when contracts go out for bid.

  • Discuss with Manager any changes, new procedures or noncompliance including any action plans for resolution.

Linen - Quotas, Scrub reports, cart locating, monitoring invoicing

  • Ensure understanding of all linen processes.
  • Monitor and adjust linen quotas based on departments needs. Meet with Units to discuss optimization, as required.
  • Monitor invoicing and scrub reports. Investigate cart outages and report any fluctuations in linen costs.
  • Organize deliveries for holidays and adjust quotas. Organize and complete an annual linen audit in conjunction with LHLS

Equipment

  • Update tracking log for capital equipment
  • Develop training material and ensure all Supervisors and Staff are trained and have a thorough understanding on equipment operations.
  • Ensure departmental training records are consistently maintained and readily available.
  • Be knowledgeable of general maintenance and operating procedures.
  • Research and source new equipment.
  • Bring forward any budgetary cost to Manager.
  • Track repairs and depreciation of equipment to determine EOL

Routines

  • Research, develop and implement job routines for front line staff.
  • Investigate struggles/time gaps that may occur.
  • Using Supervisors input, make logical changes to daily routines to optimize efficiency and ensuring standards for quality are maintained, discuss plans with Manager.
  • Have an understanding of the daily operations of all shifts within the departments.
  • Working afternoon or midnight time frames may be required on occasion

Supplies

  • Ensure that daily supply par levels are monitored and adjusted.
  • Communicate any changes to delivery dates. Ensure all backorder and shortages are monitored
  • Maintain relations with vendors and suppliers outsource alternatives when necessary
  • Monitor usage reports and monetary cost of supplies.
  • Bring forward any back order and/or budget concerns to Manager.
  • Investigate and source new products and technologies. Ensure Health and Safety are involved in any products being tested
  • Develop and discuss a plan for implementing new products and the benefits to WRH.
  • Participate in vendor reviews and product validation.

Employee Health tasks

  • Review all RL6's, ensure Supervisors complete all follow up actions.
  • Monitor any patterns or concerns that need to be addressed; report these to Manager, including any potential process issues.
  • Review Modified Work plans and attend Return To Work meetings. Collaborate with Employee Health. All difficult staff and WSIB meeting require a Manager present.
