About This Opportunity:
Are you outgoing, organized, and open to travel? If so, then we've got the perfect opportunity for you Docebo is looking for a Global Events Specialist to manage our diverse portfolio of events.
Responsibilities:
- Work closely with the Global Events team and other members of the organization to plan and manage the logistics for exhibitions, enduser conferences, trade shows, and Docebo signature events.
- Plan and execute events from start to finish, including budgeting, scheduling, venue selection, vendor management, and event promotion.
- Work with crossfunctional teams to ensure events are aligned with business objectives and goals.
- Develop and maintain relationships with internal stakeholders, vendors, sponsors, and partners to ensure successful execution of events.
- Negotiate contracts and manage budgets for each event, ensuring expenses are kept within budget.
- Manage event logistics, including transportation, lodging, catering, and equipment rental.
- Coordinate onsite event activities, including registration, guest checkin, and entertainment.
- Create exceptional event experiences for our customers, partners, prospects, and internal teams, that map back to business messaging and goals.
- Perform administrative tasks such as placing orders, collecting invoices, and reporting with regard to invoices and budgets.
- Work with suppliers and stakeholders to ensure the success of assigned projects.
- Ensure events achieve forecasted targets and track all related metrics to demonstrate corporate event KPIs are met.
- Schedule and manage event staffing including setting up booth coverage, ensuring employees understand their roles and responsibilities, and keeping staff on task.
- Manage a budget for each event and ensure it stays on track at the project level, and for your region.
- Use team tools and templates such as budgets, workbacks, and RACIs and debriefs to stay organized, and guide stakeholders through the event lifecycle.
Requirements:
- 3+ years experience in event management preferably for a B2B SaaS technology company or learning focused organization.
- Experience owning and planning large events from start to finish.
- Experience doing RFPs, working with purchasing, and ensuring vendors are paid on time.
- Excellent organization and project management skills.
- Ability to prioritize effectively and manage multiple events across time zones.
- A passion for collaborating and working with teams across an organization.
- Ability to work and communicate effectively in an international and diverse environment.
- Capacity to thrive in a fastpaced environment.
- Ability to travel up to 30%, including some evenings and weekends.
- Proficient in Google Workspace (Gmail, Calendar, Meet, Chat, Drive, Docs,Sheets, Slides, Forms, Sites) and other communication tools like Slack.
- Willingness to work flexible hours, including evenings in some cases if an event requires it.
- Familiarity with tools including HubSpot, Salesforce, Zoom and Asana is considered an asset.
- Resourceful and capable of moving projects forward with mínimal support or guidance.
- A high degree of selfmotivation, constantly developing new ideas and keeping up with technology.
- A bachelor degree in event management, marketing, or similar area is preferred.
