The enterprise content and records administrator supports efficient, transparent, and compliant management of information (enterprise content) and records through the use of content, collaboration and records management systems.


The areas of focus for this position include creating and administering business rules, technology utilization standards, protocols and guidelines on enterprise content creation, collaboration and records tools, and supporting end user adoption through change management, training, outreach, and support.


This role will:

  • Organizational champion for standardized and consistent use of content creation, collaboration and sharing tools
  • Evaluates the systems and business process improvement needs, makes recommendations, creates and implements solutions
  • Develops and facilitates enduser training to support ECM and SharePoint use throughout the organization
  • Reviews document libraries configuration, troubleshoots incompatibility issues between records and content systems components
  • Supports the maintenance of the records management systems (electronic and physical) and adheres to retention and disposition policies to achieve effective and efficient records control
  • Provides expertise and guidance to business units regarding records management related matters (i.e. taxonomies, retention, securitylabelling), and assists them in records compliance activities
  • Create and maintain workspace templates in Test, Dev environments for transport into production environments, including categories and attributes
  • Create web reports and load table key lookups in CS environments
  • Assists with the development of request for proposals (RFPs), requests for information (RFIs), business requirements, and business cases
  • Content/records administration with enterprise system such as OpenText Content Server
  • Proficiency with (training) video creation and editing tools

The following will be considered as an asset:

  • Certified Records Manager designation
  • Experience with project management tools (Jira, MS Project)
  • Relevant industry experience in public sector

The successful individual must have strong analytical, problem-solving, and interpersonal skills.

Must have strong business expertise, a keen understanding of business needs, and ability to ensure technical solutions, strategies, practices, and deliver business and customer value.

Must have the ability to balance business users' requests and requirements with technical constraints.


This individual values maintaining their technology skills and acts proactively to stay abreast of advances in their areas of expertise.

In charge of analyzing emerging technologies relevant to enterprise content digitization, influencing technology decisions in that area, and mentoring other team members.

Excellent written and verbal communication skills, with the ability to communicate both technically and non-technically are required
