Position Summary and Job Magnitude
The Housing Coordinator provides the overall administration of the housing components related to the property. The Housing Coordinator reports to the Operations Manager and assists with the day-to-day operations of the student residence.


Essential Functions and Basic Duties

  • Demonstrates a high degree of customer service
  • Documents and keeps accurate records of all student files and paperwork (Student Resident Agreement, Special Consideration Forms, roommate requests, etc)
  • Facilitate the check in/out of residents and all roommate and room assignments
  • Updates and maintains access control database and prints residence access cards
  • Works in conjunction with the Residence Life Coordinators to facilitate room changes and roommate conflicts
  • Manages room inventory and student room moves for maximum occupancy
  • Coordinates vacant room cleaning with Housekeeping Supervisor
  • Develops, facilitates and trains staff on the room inspection process
  • Ensures room inspections are completed in a timely manner and all damages/deficiencies are reported and charged to the appropriate accounts
  • Assist in maintaining the standards, policies and procedures of the maintenance requests and bed bug procedures
  • Works in conjunction with the Administration Manager to provide communication to students regarding financial accounts and collection of residence fee payments and deposits
  • Responsible for showcasing the residence building to prospective students, parents and the College community
  • Communicates with key College departments (International department, Student Recruitment, etc) to ensure all housing needs are met
  • Any other duties as assigned

Health & Safety

  • Require employees work in the manner and with the protective devices, measures and procedures required by the OHSA, regulations, and Campus Living Centres (e.g. wearing safety shoes, confining hair, jewelry or loose clothing around moving parts, etc.)
  • Ensure the Personal Protective Equipment required for all subordinates' job is readily available, in good working condition and ensure usage is recorded
  • Ensure all trainings required for each task are identified, documented, and readily available
  • Ensure all WHMIS 2015 regulated supplies and SDS sheets are readily available
  • Ensure hazard identification, labelling, and any additional chemical safety resources and documents are uptodate and available for all workers

Qualifications

Education:
University degree or college diploma preferred

Skills/Abilities:
Must possess superior customer service skills

Must possess superior verbal and written communication skills

Must be detailed orientated and possess excellent organizational skills

Have the ability to work well under pressure

Experience Required: 1-2 years industry experience required


Working Conditions

Hours per Week:
Scheduled 44 hours per week (may need to work more as required)


Indoor/Outdoor:
Indoor and some Outdoor


Level of Interruption:
High level of interruption

Stress Level:
Moderate overall stress level (Peak stress levels in May and September)


Travel Outside of Location:
Minimal
