Advanced Google Sheets Dashboard for Clinic Membership, Inventory, and Financial Reconciliation (Wellness / Longevity Clinic)
Job Overview:
We operate a premium longevity and wellness clinic based in Dubai with a membership model, supplements, treatments, and clinical consumables (e.g. IVs, peptides, NAD, wellness products).
Our current financial tracking is messy due to multiple revenue streams and stock usage across providers.
We are looking for an expert to build a clean, automated Google Sheets (or Airtable) dashboard that reconciles memberships, treatments, inventory usage, and profitability in one system.
This is NOT a basic spreadsheet task.We need a scalable operational dashboard suitable for a growing clinic business.
Core Objective:
Create a single source of truth dashboard that automatically tracks:
Membership revenue
Treatment usage
Product and consumable stock
Free influencer allocations
One off sales
Provider level usage
Real time profitability
Scope of Work:
- Membership Revenue Ledger
Monthly membership fee (fixed or tiered)
Payment status (paid, overdue, failed)
Start date and renewal tracking
Revenue per month (MRR)
- Treatment & Usage Log (Daily Input Sheet)
Patient / Member name
Provider (doctor, nurse, therapist)
Treatment performed
Products / consumables used (dropdown linked to inventory)
Automatic cost of goods calculation per treatment
- Inventory & Consumables Tracker
Cost per unit
Batch tracking (optional if feasible)
Auto deduction when treatments are logged
Low stock alerts
- Influencer & Complimentary Product Tracker
Assigned marketing value (AED)
Monthly total marketing cost via product allocation
- One Off Sales Tracker

- Automated Financial Dashboard (Executive View)

- CEO / Investor Friendly Dashboard Layer (Highly Preferred)
High level financial overview
Growth metrics
Operational clarity for leadership
Technical Requirements:
Expert level Google Sheets skills (advanced formulas, automation, data validation)
Experience building financial dashboards and inventory systems
Ability to create clean UX and scalable structure
Strong logic design and automation mindset
Nice to Have (Preferred but not mandatory):
Experience working with clinics, wellness centers, or subscription businesses
Experience with Airtable or Notion databases
Looker Studio dashboard integration
Automation using Zapier or Make (optional future phase)
Deliverables:
Fully functional automated Google Sheet dashboard
Clean and intuitive layout
Instruction guide (Loom video walkthrough preferred)
Editable and scalable structure for future growth
Important Notes:
Our clinic operates on a membership + treatment + supplement model, so reconciliation accuracy is critical.
This system will be used daily by management and must be reliable, automated, and easy to maintain.
