About the role


Canadian Blood Services is looking for a
Regular Full-Time Accounts Payable Administrator to join our dynamic
Financial Shared Services team in
Ottawa. The work of an Accounts Payable Administrator is integral to Canadian Blood Services' role as Canada's Lifeline.


In this role, you will provide accounting and administrative support to the Supervisor, Manager, and staff within the Finance Services Department.

The Accounts Payable Administrator is primarily responsible for the accurate and timely processing of invoices, partnering with Shared Services and/or Canadian Blood Services staff to resolve any issues that arise.


Key responsibilities include:


Lead the operational activities required for the timely and accurate processing of invoice documents.

  • Responsible for managing relationships for A/P vendors using ERP software (SAP) to maximize efficiencies in processing invoice documents. Experience with the use of Kofax ReadSoft software is strongly preferred.
  • Prioritize the processing of vendor invoices daily to maximize any discounts and to avoid missed payment due dates.

Provide on-going vendor account reconciliations and audits of accounts and transactions, including issue resolution.

  • Audit for compliance to Canadian Blood Services policies.
  • Complete required internal debit/credit adjustments with appropriate audit documentation as necessary in the reconciliation of vendor accounts or Purchase Order postings.
  • Accountable for reviewing unposted invoices and determining accrual treatment at month and yearend.

Ensures vendor master data in SAP reflects the most current information as provided by a vendor.

  • Ensures the vendor master data requests meet all policy and procedure requirements as set out by Canadian Blood Services.

Supports Shared Services Continuous Improvement program.

  • Identifies continuous improvement opportunities to increase efficiency, quality, and value to internal clients and external vendor clients, through changes in processes, policy, or use of technology.

  • Strong organizational, administrative, and problemsolving skills are required.
  • Desire to work autonomously in a detail oriented, fastpaced, and dynamic environment.
  • Ability to take direction from numerous people.
  • Effective interpersonal communication skills and the ability to work in a team environment.
  • Ability to conduct business professionally and develop strong working relationships with internal customers, all levels of management and other stakeholders.
  • Strong written and oral communication skills in English is essential.
  • Has an ability to create rapport with others and builds trust by gaining the confidence of others.
  • Managing people is not a direct requirement, however a good understanding of program managers' needs, and priorities is important.

Qualifications:


  • Postsecondary level education in a relevant discipline from a recognized academic institution, preferably in accounting.
  • Minimum 3 years of experience related to the AP duties and responsibilities specified. Accounts Receivable (AR) experience would be considered an asset.
  • Minimum 2 years of experience using SAP in an Accounts Payable role.
  • Use and understanding of Kofax Readsoft software is preferred.
  • High attention to detail is essential in performing all aspects of the job.
  • Strong knowledge of Microsoft Suite, including Excel and Word.
  • An equivalent combination of education, training and experience may be considered.
