Job description

What We're Looking For


We are currently looking for a Finance and Administration Manager to join our Toronto team to help setting up the financial and administrative infrastructure of North American companies' operations.


Duties & Responsibilities

  • Regularly communicate with counterparts and group CFO in China (need to be able to work night hours occasionally, between 20:0022:00 EST)
  • Planning, directing and coordinating all accounting operational functions
  • Managing the accumulation and consolidation of all financial data necessary for an accurate accounting of consolidated business results
  • Coordinating and preparing internal and external financial statements
  • Coordinating and preparing company payroll statement
  • Obtain variance reports for the management team from QuickBooks
  • Coordinating activities of external auditors
  • Review and assess areas of business risks and develop policies, in cooperation with executive leadership, to minimize or eliminate risks wherever possible
  • Providing management with information vital to the decisionmaking process
  • Managing the budget process
  • Assessing current accounting operations, offering recommendations for improvement and implementing new processes
  • Evaluating accounting and internal control systems
  • Evaluating the effectiveness of accounting software and supporting database, as needed
  • Assist with monitoring job costing for project materials and resources for budgetary planning and financial management
  • Overseeing regulatory reporting, frequently including tax planning and compliance
  • Hiring, training and retaining skilled accounting and administration staff
  • Ensure all business activities are performed with the highest ethical standards, in compliance with the company's code of conduct
  • Coordinate filing of all required government reports and returns
  • Compete other duties and projects as assigned, mostly as administrative manager to support the Canada and Mexico team building activities
  • Ensures a safe, secure, and wellmaintained facility that meets environmental, health, and security standards.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Monitor costs and expenses to assist in budget preparation
  • Oversee facilities services, maintenance activities and tradespersons
  • Ensure operations adhere to policies and regulations
  • Maintaining all policies and procedures manuals
  • Overseeing company budget planning and development
  • Performing clerical accounting and general office duties as needed
  • Support in staff hiring and training activities
  • Acting as HR manager while company is filling this role
  • Identifies key areas of improvement, plans administrative processes, establishes guidelines, and implements protocols
  • Tracks team performance and ensures quality of work is within acceptable levels

Knowledge, Education & Experience Required

  • Postsecondary degree specializing in Accounting, Finance, or Business Administration
  • Minimum 5 years related experience
  • Professional designation including CPA, CMA, or CA
  • Knowledge of QuickBooks
  • Strong organizational and leadership skills
  • Excellent analytical skills
  • Exceptional communication skills
  • Indepth knowledge of accounting and finance
  • Strong eye for detail
  • Excellent knowledge of digital technology
  • Excellent ability to work as a team
