Position Summary


This Nursing Unit Clerk reports to the Director of Care of the Long-Term Care residence and is responsible for coordinating the daily staffing of the Nursing Department.

Assists in maintaining a safe and secure environment for residents, visitors, and other staff members.

All duties are performed in the best interest of the residents and their families, and in accordance with AgeCare's vision, mission, and values statements.


Within the scope of this position, the Nursing Unit Clerk takes on a key role to continually provide an environment promoting a culture of client safety and freedom from harm and injury.

  • Resident Relations:_
  • Promotes and respects the Resident Bill of Rights.
  • Responds to resident or family member concerns and ensures appropriate action is taken within decisionmaking authority and/or brings to the attention of the Director of Care.
  • Budget & Financial:_
  • Ensures daily hours reflect the budgeted hours and reports discrepancies to the Director of Care and Business Manager.
  • Totals the daily payroll hours on the Employee Daily Compliments Sheets and submits verified Timecards to the Business Manager for payroll processing. Ensures this information is documented in the Master Schedules.
  • Marketing & Occupancy:_
  • Effectively communicates and interacts with residents, family members, visitors, and volunteers in a courteous and professional manner.
  • Regulatory Compliance:_
  • Conducts duties in accordance with AgeCare policies and procedures, as well as government regulations, laws and policies.
  • Understands and follows all health and safety policies and procedures.
  • Works safely to reduce the risk of injury to self, other staff members and residents.
  • Promptly reports all actual or potential hazardous situations.
  • Arranging for the storage of resident files ensuring compliance with established record retention policies/procedures.
  • Arranging for the destruction of discharged resident files ensuring compliance with established policies/procedures.
  • Maintaining the residence's Record Storage/Destroy List.
  • Maintaining resident medical record storage room in a safe and orderly fashion.

Administrative Systems:

  • Assists in the coordination of staffing and scheduling needs for the Nursing Department including replacement of staff on a daily "call in" basis and updating staffing changes on the Master Schedule and daily compliments.
  • Obtains approval for overtime work from the Director of Care.
  • Maintains attendance/absenteeism reports and communicates any recurrent absenteeism to the Director of Care.

Qualifications:


  • Experience:_
years of previous experience working in a similar position.

  • Education:_
  • Grade 12 Diploma or equivalent.
  • Post secondary education in a related field (e.g., Medical/Office Assistant) is considered an asset.
  • Skills, Knowledge, and Abilities_
  • Good interpersonal and communications skills (both written and verbal).
  • Good organizational and time management skills.
  • Computer skills including proficiency in Microsoft Office, with a working knowledge of Excel and Word.
