Encircled, a slow fashion brand based in Toronto, is looking for a motivated
Executive Assistant + Studio Manager to provide high-level support to our CEO and help drive our growth.


You'll coordinate business and personal calendars, manage team communications, and handle various admin tasks, while also managing our studio and liaising with property management.

No task is too small or too big, and you're passionate about making a difference.

Your primary gig:


  • Manage CEO's personal and business calendars, adjust to new demands and prioritize commitments.
  • Manage CEO's inbox and provide attention to detail in communication.
  • Handle light bookkeeping, update cash flow documents, and coordinate invoices and expenses.
  • Evaluate incoming correspondence and redirect to the team as necessary.
  • Organize logistics for the studio, including social events, training, and appointments.
  • Complete various administrative tasks, such as booking appointments, processing invoices, and responding to general inquiries.
  • Assist with marketing efforts, and compiling data for analysis.
  • Participating in the recruiting process.
  • Lead meetings in lieu of the CEO and attend others and take notes.
  • Local, and possible future international travel with the CEO to events/conferences.
  • Other administrative duties as required.

Who we're looking for:

We're seeking a highly motivated, team-oriented individual who enjoys working in a fast-paced and collaborative startup environment. While you prefer a backseat role, you're a self-starter who can work independently while still contributing to the team. You're tech-savvy, comfortable with social media, and a master of business and personal calendars, typing 45 wpm.

You're an expert problem solver with great communication skills that facilitate ease and flow with your leader and extended team.

You're passionate about creating a positive impact and continuously improving systems and processes.

Most importantly, you must love dogs and be trustworthy and safeguard the confidentiality of our business, customers, and team members.


Your experience:


  • An experienced Administrative Assistant with a minimum of 3+ years supporting Executives or highlevel directors
  • At least 12 years of bookkeeping experience.
  • A Bachelor's degree in marketing or business administration is an asset.
  • Familiarity with bookkeeping software like Xero or Quickbooks is necessary.
  • You must be comfortable with troubleshooting Apple devices.
  • You should have solid spreadsheet skills and project management skills.
  • A flexible schedule is required as evenings and weekends may be necessary during busy periods.
  • You must be able to lift a minimum of 20lbs, and a valid Glicense and access to a car is an asset.
  • Hybridremote position: minimum 3days a week in office with some flexibility up or down during busy periods.
