Job Summary

A Brief Overview

Do you want to play a key role in the future of technology services at Queen's University? We are seeking a dynamic IT Asset Management Specialist to join our team.

Reporting to the Assistant Director, Delivery Management, the IT Asset Management Specialist will support the broader Queen's cybersecurity program in delivering hardware and software asset management within IT Services.

As the process lead for our technology resources, you will play a pivotal role in optimizing IT assets, ensuring compliance, mitigating risk, and spearheading process improvement plans.

This position coordinates the asset management of university software licenses and technology-related hardware. This position develops process improvement plans and implements risk management strategies. This position sets priorities and project objectives, outlines key deliverables and risk mitigation strategies, and maintains timelines.

This position develops and implements standards and procedures for tracking Queen's IT assets throughout their lifecycles, and develops recommendations and reports that will inform operational needs.

What you will do

  • Oversees the IT asset management practice with a continuous improvement approach.
  • Determines the methodology to research, gather, maintain, analyze data, and present recommendations and reports to key constituents.
  • Designs and implements processes, procedures and risk mitigation strategies for tracking and analyzing technical and financial data of company software, hardware, and equipment from requisition through retirement.
  • Serves as project lead and unit contact for projects, including leading the working group to set priorities and project objectives, outlining key deliverables, and maintaining the timeline.
  • Identifies ongoing opportunities to improve IT asset management, for both hardware and software. Vets opportunities and develops business cases for constituent buyin.
  • Develop processes and a data driven approach to maintaining copies of software licenses, warranties, maintenance agreements, and vendor contracts. Conducts and reports software asset reconciliation and audit activities, including financial, licensing, warranty, and maintenance/support contract information.
  • Monitors and maintains information regarding all software and hardware serial numbers or identification tags in the configuration management system (CMS) and ensures information is uptodate, accurate, and auditable.
  • Communicate asset management strategies, policies and procedures to team members and constituents.
  • Engages with key constituents, such as business leaders, procurement teams, IT department heads, and IT teams, to understand their requirements to align IT Asset Management initiatives with organizational goals. Collaborates with the IT security team to ensure IT asset compliance with data protection, privacy regulations, and cybersecurity policies.
  • Provides training and documentation to users.
  • Other duties as required in the support of the department and/or unit.

Required Education

  • Four-Year Bachelor Degree or equivalent. In addition, requires trade certification, qualification, or ongoing learning to remain ahead of changes in technology or emerging fields.

Required Experience

  • More than 5 years of experience.
  • Experience in supply chain, logistics or 3PL considered an asset.
  • Experience monitoring, evaluating and testing records, processes and/or systems to assess compliance with applicable laws, agreements, contracts, and/or policies considered an asset (e.g., IT systems audits, financial audits, operational audits, etc.).
  • Consideration may be given to an equivalent combination of education and experience.
