Job Description:
Primary Responsibilities:
This position will be responsible for well-organized and efficient preparation and handling of inbound and outbound material, as well as providing support to the Purchaser.
_ Specific Responsibilities:
_
- Determine best method of international and domestic shipping using knowledge of shipping procedures, routes, rates and required delivery dates.
- Ensures that there is understanding of all LIMS shipping requests and questions the Client Services group if anything is not clear or if there is any missing information.
- Prepare bills of lading, customs forms, packing lists and other shipping documents in adherence to shipping and receiving procedures and regulatory compliance policies.
- Maintain compliance with laws (e.g. soil permits), regulations (e.g. Transportation of Dangerous Goods), and standards (e.g. ICCP-Certified wood packaging) and complete appropriate documentation as required.
- Contact carrier for quotes and to issue instructions for shipping and delivery of material.
- Pack, seal, and label materials to be shipped.
- Liaise with Project Managers to ensure all relevant paperwork is provided for outgoing sample shipment (especially permits for tissue and sediment samples).
- Liaise with other staff to coordinate collection and/or provision or samples and/or supplies for shipment:
° Complete the necessary paperwork including the release chain of custody and purchase
order (if required).
- Provide required documentation to Project Managers for submission to clients for return shipment of samples.
- Inspect and verify inbound/outbound material against manifests, purchase orders, invoices or other documents, to verify accuracy of shipment.
- Receive all inbound material in internal recordkeeping systems (e.g. Oracle, LIMS)
- Ensure stock levels of HDPE items are bagged for ease of accommodating rush shipments
- Phone and/or correspond with carrier and suppliers to rectify problems, such as damages, shortages, and nonconformance to specifications
- Manage proofing items including:
- Login new laboratory equipment, assigning the item an inventory number and sending for calibration by ISO17025 standards, if required.
- Maintain accurate records of all inbound and outbound materials for reporting and accounting purposes.
- Maintain shipping and receiving area
- Know safe storage and handling procedures for various chemicals and materials.
- Perform general physical activities in order to load, unload, sort and move shipments by hand or using material handling equipment (e.g, pallet jacks)
- To provide support for the Purchaser of daily critical laboratory items:
° Manage all standards orders - contacting vendors to request quote and placing orders.
° Daily/ Weekly ordering of critical laboratory items via "blue card" system, including updating ETA's and working with vendors to expedite orders where necessary.
° Sourcing other items/materials when ETA's cannot be met due to availability or when items are on backorder.
- Keeping requestor updated on statuses
- Updating Purchase request spreadsheet when items arrive
- Contacting requestor to pick up requested items upon arrival.
- Order supplies as required by operations staff.
Qualifications:
- Minimum of a High School Diploma and may require some vocational training.
- 25 years of experience in Shipping & Receiving related field is a strong asset.
- Driver's license and Forklift certificate or previous experience would be an asset.
- Experience with information systems is considered an asset.
_ REQUIRED SKILLS_
- Specific technical skills: Specialized training such as regulatory (e.g. TDG, IATA, Harmonized Systems), and driver license.
- Skill sets: active listening, reading comprehension, speaking, writing, mathematics, instructing, social perceptiveness and critical thinking.
- Ability to work well with others & independently.
- Proven time management skills and a strong attention
