GENERAL ACCOUNTABILITY

  • The incumbent is responsible for overseeing day to day assigned projects. He\she is also responsible for providing a wide range of administrative support to the Project Manager.

SUMMARY

  • The Project Coordinator reports directly to the Project Manager and is in direct contact with the manufacturer, contractor, internal management and sales team

SUPERVISORY RESPONSIBILITY

  • The Project Coordinator has no direct supervisory responsibility, but provides advice and guidance, as required, on department's projects

ESSENTIAL
DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.


DUTIES

  • Attends required site meetings. (ie... kickoff meetings for larger projects)
  • Responsible for placing purchase orders, release and track delivery with the suppliers for new projects.
  • Maintains all project documentation (hard copy and electronic).
  • Process and track Warranty Replacements for Projects.
  • Issue approval drawings to contractor for review and, once approved, forward approved drawings to the manufacturer while maintaining copies for company records.
  • Maintain project delivery schedules and expedite when required.
  • Process price changes for material additions and deletions.
  • Balance project budget, to maintain margin and avoid overbilling scenarios.
  • Oversee daytoday assigned project inquiries and liaison between manufacturer, contractor, internal management and sales team.
  • Source alternative products, quote and establish deliveries to meet required project deadlines.
  • Maintain positive business relationships with suppliers and customers and resolves concerns or complaints that may occur.

QUALIFICATION REQUIREMENTS

  • Community College education plus a minimum of five (5) years related experience in the industry, or the equivalent combination of education and experience.
  • Success in the position is dependent on strong AS400 skills. Incumbent must be proficient in MS Office suite (Word, Excel, etc) and be comfortable learning and using new software and computer programs such as OnBase and Project Management Systems.
  • Ability to read and interpret relevant documents such as contracts, specification sheets and manuals.
  • Ability to create reports, correspondence and contracts to suppliers, customers and management.
  • Ability to communicate effectively with customers and suppliers.

MEASUREMENTS

  • Incumbent is evaluated on the successful implementation of a wide range of project initiatives and on developing and maintaining positive business relationships with vendors, customers and fellow employees. The Project Coordinator is also evaluated on her/his contribution to the development of a positive image for Rexel.

From $48,000.00 per year
