Overview:

Olive Fertility Centre:

Reporting to the Director, Clinic Operations, the Patient Care Coordinator offers confidential administrative support to our Reproductive Endocrinologist and Infertility (REI) specialists to coordinate patient appointments and ensure excellent patient care.


Key Areas of Involvement Include:

  • Manage physician's daily schedule.
  • Arrange appointments for new patients, follow-up visits, orientations, counsellors, andrology, OR, hospital tests, etc.
  • New Patient Bookings
    • Triage referrals, assess history and order relevant fertility testing before consultations.
    • Take patient history and review necessary testing.
    • Utilize the Electronic Medical Records (EMR) program to ensure all essential test results are completed before the physician's review; if needed, contact the patient to reschedule the appointment.
    • Establish, confirm, and update patient and partner demographic information in the EMR.
    • Foresee and obtain any special reports that could aid the physician in devising a treatment plan (e.g., if a patient has consulted a urologist, locate the urologist's consultation letter).
  • Follow-up/Patient-Centered Care
    • Arrange follow-up for unsuccessful cycles
    • Evaluate patient requirements and accommodate accordingly.
    • Assist the Nursing team in facilitating patient care.
    • Support the physician in their additional responsibilities outside the clinic (e.g., teaching, public speaking, personal commitments)
    • Handle all incoming calls promptly and efficiently.
    • Perform other necessary tasks.

Qualifications:


Education, Training, and Experience:


  • Completion of Grade 12 and a Medical Office Assistant certificate program.
  • Decade of experience in an office managing various appointment types.
  • 5-year background collaborating with healthcare professionals in a medical facility.

  • Efficient and accurate work across all responsibilities
  • Ability to foresee patient's and physician's needs
  • Effective verbal and written communication skills
  • Consistent professional, positive demeanor in all tasks
  • Awareness of team members and willingness to adjust workload to provide assistance as needed
  • Capability to work independently and within a multidisciplinary team
  • Broad knowledge of EMR software and other computerized database systems
  • Physical capability to fulfill all job duties

Job Types: Full-time, Permanent



Pay: From $55,000.00 per year

Ability to relocate:

  • Vancouver, BC: must be able to commute or relocate before beginning work (mandatory requirement)

Education:

  • AEC / DEP or Skilled Trade Certificate (mandatory)
Experience:

  • 5 years in a medical office setting (mandatory)
