    About the Role:

    As a Realtor Support Coordinator, is the first impression of the business, the key to success is best-in-class, in-branch service delivery. You are driven by collective success and are personable, professional, and helpful. You will work closely and build effective relationships with our Realtors. This role has a broad knowledge of the brokerage business, including pre and post-transaction activities and paperwork, and submission requirements to the Transactions Services Team.

    The Realtor Support Coordinator creates value for the realtors with a supportive and service-focused approach to various support activities

    You will add value by:

  • Greeting visitors and directing them to the appropriate agent or contact
  • Maintaining the reception area, ensuring it is tidy and welcoming, and managing incoming and outgoing mail and packages related to the real estate transactions
  • Scheduling appointments for agents to show properties to potential buyers or renters
  • Establishing and maintaining positive relationships with internal Realtor, third-party Realtor prospects, the general public, and suppliers
  • Acting as the first point of contact for problem resolution and making all efforts to reduce escalation
  • Maintaining and updating listings on the company's website and other listing platforms
  • Respond to phone calls, emails, and other inquiries in a timely manner
  • Miscellaneous administrative activities as required; orders forms from OREA & Boards, oversees document destruction supplier, maintains office equipment as required; copiers, postage machines, If applicable.
  • Broker Loading – responsible for broker loading ( entering data into MLS) and all listings to (Toronto Regional Real Estate Board (TRREB) / Oakville Milton and District Real Estate Board (OMDREB); Input showing instructions into BrokerBay; Review of all listings to ensure completeness of information; Process listing into Skyslope, amendments, price changes, and extensions/ cancellations
  • Places orders for signs, arranges for installation through 3rd party supplier, branch storage of generic frames, for sale signs, riders, etc
  • What You'll Need To Be Successful

    Experience:

  • Previous experience, 3-5 years of proven success working in a client-facing role in a full-service real estate brokerage environment
  • Deep understanding and proficiency of MS Office suite, Google enterprise platform, Understanding of and proficiency in utilizing social media platforms (Facebook, LinkedIn, Instagram, YouTube). Ensure brand standards are met for branch-specific social media channels and content
  • Understanding of the real estate market local to the branch and thorough knowledge of the real estate transaction process
  • Post-secondary education an asset
  • Strong command of written and oral English is required
