    Job Description

    Position Summary: Provides administrative, financial, procurement, and third-party claims support to projects.

    Primary Duties and Responsibilities

    • Manage new hire processes, including paperwork, payroll setup, benefits enrollment, and onboarding. Conduct new employee orientations and maintain accurate employee records.
    • Process employee actions such as transfers, vacations, promotions, merit increases, and bonuses, ensuring all documentation is received and approved.
    • Handle administrative tasks such as answering phones, greeting visitors, and distributing responses. Coordinate meetings, conferences, and travel arrangements.
    • Prepare monthly reports, including client reports, overtime, payroll, and SAP reports.
    • Maintain employee and project files, including training, licensing, and vendor insurance records.
    • Manage purchasing, equipment maintenance, rentals, vendor contracts, third-party claims, and client deliverables.
    • Oversee accounts payable and receivable, including reconciliation and verification.
    • Assist with fleet management data entry and invoice review.
    • Respond to inquiries, record and track requests, and dispatch employees for incidents or client concerns.

    Education and Experience

    • High School Diploma or GED required.
    • 3-5 years of office administration or customer relations experience required.
    • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
    • Valid driver's license with a good driving record.
    • Experience with SAP is strongly preferred.

    Work Conditions and Physical Demands

    Occasional fieldwork in varying temperatures, travel, and lifting up to 20 pounds.
