Position Summary


We are seeking a talented and organized Service Coordinator to join our team As a Service Coordinator, you will play a critical role in ensuring the successful maintenance of our buildings and properties.

In this role, you will be responsible for coordinating and scheduling maintenance work orders to our maintenance teams and contractors, while monitoring activities to ensure quality, cost-effectiveness, and efficiency.


Duties & Responsibilities


As a valued member of our team, you will work closely with our Maintenance Supervisor to keep appropriate records, provide regular reports, and support future planning and decision making.

You will also be responsible for responding to tenant inquiries and coordinating maintenance activities with our on-site support team, contractors, and maintenance technicians.

We are looking for someone who is highly organized, detail-oriented, and possesses strong interpersonal skills.

You should have a working knowledge of residential property and tenant management, and be proficient with software programs such as Yardi, Microsoft Office, and contact management and database programs.

Experience in rental housing, residential construction, or related industries is preferred, and previous work in housing or non-profits is an asset.


Some of the daily duties include:

  • Process all requests for maintenance, schedule and assign work orders to Maintenance Technicians and contractors
  • Coordinate and support overall maintenance activities with tenants, contractors, onsite support team and Maintenance Team (i.e. complete notices to enter, etc.).
  • In coordination with Property Managers and Maintenance Team set schedules for preventive maintenance, generate work orders for requested maintenance and arrange contractor wor
  • Record, track and coordinate the completion of work orders using Property Maintenance Software.
  • Maintain a database of equipment and depreciation schedules for all assets
  • Maintain a list of preferred contractors and the required insurance & WCB compliance.
  • Provide initial cost estimates and finalize totals to the Property Financials Coordinator to finalize Statements of Accounts.
  • In collaboration with the Property Management team, establish a process and guidelines for maintenance requests, specifically for Permanent Supportive Housing (PSH) properties. This includes establishing a structured process for submitting a maintenance request using Property Management Software or other appropriate software as approved by Senior Executives.

Qualifications


To succeed in this role, you will have a strong working knowledge of residential property and tenant management, and will be proficient with a variety of software programs, including Yardi, Microsoft Office, contact management, and database programs.

You will also have experience working in rental housing, residential construction, or related industries, with a minimum of 2+ years of experience preferred.
