We are seeking a dynamic, highly motivated
Operations and Property Services Assistant who demonstrates our values of compassion, accountability, responsiveness and empowerment; to our clients, families and each other.


The
Operations and Property Services Assistant will work in collaboration with the Coordinator to ensure the effective, efficient operation of the Program Operations and Property Services Portfolio.

In addition, this role will support the Executive Team and Senior Program Directors with a variety of administrative tasks.

This position is a
non-unionized,
temporary, full-time position. The rate of pay is $20.20 per hour. This is a contract covering a 12 month maternity leave, possible extension to 18 months.

**Key Responsibilities: Property Management and Operations

  • Assist Coordinator with inventory, procurement, and invoicing and oversee the distribution of supplies.
  • Assist Drivers and Cleaners with onsite supports (i.e. Petty Cash) as approved by the Coordinator and/or Manager.
  • Assist staff with onsite maintenance requests as approved by the Coordinator and/or Manager.
  • Work with Manager to execute procedures to manage and mitigate risks to the organization including acting as the onsite point of contact for emergency situations (i.e. fire alarm)
Executive Supports

  • Provide proactive and timely supports to the Senior Leadership Team (ED, AED, HR Directors, RD Director, Fin Director) and the Senior Program Directors. This includes (and is not limited to) booking and coordinating meetings, overseeing calendar bookings/reminders for ED, taking meeting minutes, arranging travel, managing expenses, completing various administrative tasks etc.
  • Undertake duties related to the Board of Directors as appropriate and assigned by the Manager
Portfolio Planning, Development and Evaluation

  • Work with Manger to ensure that day to day operations are in line with operational plans, program policies and procedures and that Operational Manuals are kept up to date
  • Work with the Manager to ensure that Quality Improvement Plans (QIP) are implemented in the areas of Procurement, Ordering, Distribution and Executive Supports
  • Identify and report operational risks and under performance to the Manger in a timely manner
  • Take part in regular service delivery audits and evaluation processes

What you will bring:


  • Minimum of 1 to 2 years' experience in an Executive Assistant role or Administrative role providing support to a team of 57 people.
  • Experience overseeing inventory, ordering and invoicing
  • Proficient in the use of Microsoft Office Suite.
  • Ability to handle sensitive information effectively and confidentially
