Job Overview


This incumbent also a key team member to support smooth COTM operations in the area of technology and website upkeep.


Major Job Areas and Responsibilities

REGISTRATION

  • Maintains member database and member files
  • Provides database information to Executive Director and Registrar as required
  • Provides support to Registrar as required
  • Coordinates and processes annual renewals
  • Produces member lists as needed and at key dates (April 1, Dec 31, June 1)
  • Prepares Registrar's report for Board of Assessor meetings
  • Analyze and develop registration administrative procedures and continually find solutions to improve the workflow
  • Develops manual to support the ongoing use of the Pivotal database and other related registration processes
  • Prepares data submissions to the Canadian Institute of Health Information (CIHI) and the Fair Registration Practices Office (FRPO)

WEBSITE MAINTENANCE

  • Posts documents to the COTM website
  • Updates COTM documents for posting to the best possible webbased accessible versions

OFFICE TECHNOLOGY / MEMBER DATABASE (PIVOTAL) SUPPORT

  • Manage office use of technology services
  • Support all staff related to Pivotal and Microsoft 365 technology issues

GENERAL DUTIES

  • Modify standard forms and documents to accessible formats

OTHER

  • Perform other workrelated duties as directed and assigned by the Executive Director
  • Provide coverage for the Professional Practice Manager related to registration duties and the Operations Associate
  • Executive Assistant related to office operations during their absences

Education & Experience

  • Certificate or Diploma in office administration; equivalent combination of education and experience may be considered
  • Minimum 2 years of experience working in a similar role in a busy office environment
  • High level expertise in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Microsoft Teams
  • Ability to work independently and under pressure

Working Conditions

  • Work in an office environment
  • Work a standard work week of 37.5 hours
  • May be required to work additional hours during peak times
  • Shifting demands and priorities, must be flexible and adapt to change
  • May be required to work alone at times
  • Use of computer for significant periods
  • The office is currently on the second floor in a building without an elevator.
  • Occasionally there will be a need to lift boxes of up to 40 pounds.
