Executive Assistant to The CEO - Toronto, Canada - AGF Management Limited

About the Role:
As the Executive Assistant to the Chief Executive Officer & Chief Investment Officer (the "CEO & CIO"), you will play the critical role of managing a full range of administrative support to help enable the achievement of firmwide objectives.
Your Responsibilities:
- Manage all aspects of the CEO & CIO's calendar; schedule and coordinate meetings with internal and external contacts, including catering arrangements, room bookings and the creation/distribution of agendas and materials
- Coordinate and produce itineraries for all travel arrangements for the CEO & CIO, including air, rail, limo transportation, car rentals etc.
- Complete and submit monthly expense reports and reconcile credit card statements on behalf of the CEO & CIO
- Review and approve monthly expense reports for the CEO & CIO's direct reports, ensuring alignment with company expense policy, and coordinate the review and approval of highvalue invoices
- Liaise with Marketing/Public Relations on the CEO & CIO's appearance at all mediarelated events, ensuring all components are covered in advance (i.e. question lists, transportation, dress code etc.)
- Schedule regular leadership team meetings and other recurring Investment Management meetings, including calendar management, agenda creation, assignment of a notetaker and transcribe/circulate minutes
- Coordinate the CEO & CIO's attendance at various external committee meetings and events
- Other ad hoc administrative support, such as photocopying, scanning, arranging and approving requests for equipment, compliance requests, reporting and projects
- Mentor and provide leadership to administrative assistants, enlisting their assistance as needed, particularly with the coordination/planning of the annual offsite
- Provide backup coverage for other senior assistants while on vacation
Your Qualifications:
In addition to experience supporting senior executives in a professional environment, you will have exceptional tact, judgement and diplomacy, with a demonstrated ability to work in a confidential environment and handle sensitive information with complete discretion.
- Excellent communication and interpersonal skills, combined with a high degree of professionalism
- Strong planning and organizational skills, with a demonstrated ability to use sound judgment when prioritizing deliverables and competing priorities
- Strong technical skills, including Word, Excel, Power Point
- Strong initiative and ability to work independently, as well as part of a team
- Able to work well under pressure and meet strict deadlines
- Solutionsfocused, with the ability to summarize matters succinctly and offer ideas to rectify issues
- Flexibility to work overtime hours, as required
