At Anika Youth Services, we support youth in the Surrey and Langley area that are in need of wrap around services, including long-term housing, outreach services, and life skills programming.
At AYS, we create individualized plans that address the youth's mental health, social, behavioural, and emotional needs.- Friday, on a full time basis.
Responsibilities:
- Provide secretarial, administrative and clerical support to the agency and act as an assistant to the agency's personnel; coordinate calendars, schedules appointments, interviews and meetings, assemble and prepare agendas, background materials, attend meetings, take minutes and follow up on action items.
- Receive, redirect and respond to agency calls; act as receptionist for the agency by greeting and directing visitors. Review incoming correspondence and prepare outgoing mail.
- Assist in the tracking of agency expenses and provide reports. Code documents such as visa statements and invoices ensuring all charge work orders and/or account numbers are correct for management approval; create and process personal and agency expense claims and supervise petty cash transactions.
- Coordinate services and maintain subscriptions including household services, phone plans, Hydro accounts, security accounts, internet plans, etc.
- Plan events such as communication sessions, workshops and forums; research and book venue, plan room set up, organize and book catering/plan menu; plan agendas and book appropriate speakers based on general topic ideas.
- Support the Program Administrator in various duties including but not limited to the recruitment and hiring process, report writing, completing set up, audit and closure of employee files.
- Develop and maintain filing systems, manuals and other materials; maintain agency records including contracts; answer related queries, investigate and resolve problems; maintain inventory supplies/stock.
- Other office duties as required.
Requirements:
- Applicant must be female based on the demographic of clients who have had exposure to abuse from males.
- Proficient in the English language (verbal, written, etc)
- High school graduation including postsecondary courses in office administration and Microsoft Office products, plus completion of postsecondary accounting courses and two (2) years directly related experience; or an equivalent combination of education and experience.
- Preferred experience in social services/nonprofit sector with some understanding of barriers of the clients AYS supports.
- Advanced knowledge of Microsoft Office products (Outlook, Word, Excel, PowerPoint, Quickbooks) as well as other software in use in the agency such as Adobe Acrobat, Nucleus labs, SutiHR, etc.
- Fast, accurate typing skills (60 words per minute); ability to format various types of correspondence and complicated reports, forms, charts and presentations.
- Excellent communication, interpersonal and organizational skills.
- Demonstrated ability to work well under pressure with tight deadlines.
- Demonstrated ability to follow high level instructions and work with detailed information.
Salary:
$24.00-$28.00 per hour

Education:
- DCS / DEC (preferred)
Experience:
- Administrative experience: 1 year (preferred)
