Position Overview:

We are seeking a highly skilled and experienced Event Management Consultant to provide strategic guidance and expertise in ensuring the success of our flagship event.

As a Conference Event Management Consultant, you will advise and guide the planning and execution of our annual conference.

Your expertise will contribute to the development and project management of a comprehensive event strategy, ensuring alignment with organizational goals and industry best practices.

This is a hybrid position with an expectation to work from Victoria the week of the conference.


Key Responsibilities:


Strategic Planning:
Provide expert consultation on the development and execution of a comprehensive event strategy. Contribute to the creation and management of detailed project plans, timelines, and budgets.


Logistics and Operations:
Offer strategic insights into logístical considerations, including venue selection, catering, audio-visual setup, and transportation. Provide guidance on optimizing event setup and breakdown processes.


Vendor Management:
Utilize industry knowledge to identify and recommend reputable vendors and suppliers. Oversee vendor relationships and negotiations to ensure adherence to agreed-upon terms and high-quality service delivery.


Speaker Management:
Work with the ASPECT team to select qualified presenters; prepare and finalize speaking agreements. Establish clear communication channels with presenters, providing detailed information about schedules, venue logistics, and specific presentation requirements.


Onsite Logistics Management:

Oversee and manage onsite logistics seamlessly, including venue coordination, catering execution, audio-visual setup, transportation logistics, and real-time problem-solving during the conference.

Address any logístical challenges promptly and maintain a smooth flow throughout the conference.


Marketing and Promotion:
Collaborate with the marketing team to offer strategic insights into promotional strategies. Leverage industry expertise to monitor and analyze event performance, providing actionable insights for continuous improvement.


Team Collaboration:
Work collaboratively with cross-functional teams, providing expert guidance throughout the planning process. Offer strategic input to enhance overall team effectiveness.


Project Reporting:
Generate a comprehensive post-conference report encompassing an analysis of challenges, successes, and proposed solutions for subsequent years. This report aims to provide valuable insights and recommendations to enhance the planning and execution of future conferences.


Qualifications:


  • Extensive experience (5+ years) in managing largescale events, preferably conferences.
  • Proven ability to provide strategic guidance and contribute to the success of events.
  • Excellent communication and interpersonal skills.
  • Strong organizational and project management skills, with meticulous attention to detail.
  • Proficient in event and/or project management software and Microsoft Office Suite.
  • Proven ability to implement strategies that ensure all delegates feel welcome and accommodated, contributing to an environment that reflects Indigenous understanding, cultural sensitivity and accessibility for everyone.
