Coordinator, International Student Services


The Coordinator for International Student Services provides functional guidance and required training to International support staff at Fennell, Stoney Creek, IAHS and Mississauga Campus.

This role has an administrative function within the International Student Services department. The incumbent will provide operational support to the Manager, International Student Services and Engagement. They are the first point of escalation with respect to any non-standard student issues or questions.

The incumbent will be responsible for retention reporting and the projection for numbers of returning students, as well as other data-driven reports.

The incumbent serves as liaison between International Student Services and other teams in the International Department.

The incumbent is responsible for ensuring new staff are oriented appropriately to the college, and that all requirements (keys, access cards, computer access etc.) are in place.


The incumbent would create appointment booking times on the Qnomy system to ensure that the department is meeting the demand of student inquires for both in person and telephone appointments.


Responsibilities:

The duties of this position include, but are not limited to:

Coordinates International Student Service Staff and Activity Within the International Department at all Campuses

Coordinates operations for the International Student Services department.

  • Schedules shifts for support staff, arranges appropriate coverage if someone is sick/away, ensures appropriate orientation/onboarding for new staff.
  • Liaises with and is main contact between Admissions, Recruitment and International Student Services.
  • First point of escalation for any nonstandard issue with students regarding fees deferral, transfer or refund requests.
  • Interprets guidelines, analyzes available information and implements services by directly advising clients and/or liaising with or making referrals to appropriate departments, administrators, faculty coordinators and other staff. Advocates on behalf of students within the College and with community and government agencies.
  • Ensures adherence to the Freedom of Information Guidelines
  • Ensures efficiency and high quality of the frontline operations with respect to staff training, coaching, scheduling and day to day operations.
  • Provides a high level of customer service through example and guiding staff and developing procedures to meet this goal.
  • Ensures content on the Mohawk college website, specifically the International and Mississauga webpage are current.
  • Work with international Student Advisors, RISIA staff and coaches to provide presentations to students in both inperson or virtual formats.

Coordinates the Check-in Process for New Students

  • Working with International Student Services and Admissions team to update training documents along with both the Manager of International Admissions, and International Student Service and Student Experience
  • Participate in the onboarding of check in staff ensuring they have access to Banner, iCent, and OCAS-IAS.
  • First point of contact for the check in staff to support in system issues, student inquiries, and process questions.
  • Ensure that clean up (filing of documents to BDM) and iCent records updated and completed after the add/drop period

Communication/Reporting

  • Communicates regularly with leadership (Coordinators, Managers, etc.).
  • Ensures that Manager of International Student Services and Experience is kept informed of communications which impact operations, processes and procedures.
  • Monitors staff lieu time records, creates contracts for new employees and renew contracts as required.
  • Note taker for weekly meetings and other meetings as required
  • Complete routine and nonroutine correspondence with students.
Other duties as assigned.


Qualifications:


  • Minimum 3year postsecondary education in Business/Office Administration or a related field, or equivalent combination of education and experience.
  • Minimum 5 years of experience in a similar role
  • Experience offering information, referral and/or advising services.
