Office Manager / Administrator + Client Experience Specialist
Administrative Assistant / Office Manager will organize and manage administration duties and office processes/procedures.

Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Ensure the efficient and smooth day-to-day operation of our office, projects and related tasks.


Responsibilities Include:

  • Answer and direct phone calls, maintain CRM, regular clients' requests
  • Help with HR to update and maintain office policies and systems as necessary
  • Organize office operations and procedures
  • Use related office equipment
  • Prepare invoicing and monitor accounts status (A/R, A/P, payroll preparation)
  • Monthly/quarterly bookkeeping reports (reconcile accounts, tax reports etc.) with accountant assistance where required.
  • Maintain internal filing system and processes
  • Update and maintain office policies and procedures
  • Address employees queries regarding office management issues
  • Maintain contact lists and related correspondence
  • Provide general support for office staff, build teams and partners

Education, knowledge, and talents:

  • Knowledge of office management systems and procedures
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problemsolving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to effectively multitask
  • Fluent in both French and English.
  • Knowledge of Quick Books or similar accounting software, Microsoft Office Suite.
  • Strong analytical, organizational, and problemsolving skills.
  • Client Service oriented interpersonal skills with internal/external clients and partners.
  • Attention to detail; organized, complete, and accurate.
  • Ability to make decisions and recommendations within authorized limitations.
  • Excellent time management and efficiency skills.
  • General accounting experience.
  • Ability to present a professional image and represent company brand.
Other operational software will be required to learn including LMN, Bamboo, etc.
