The Customer Service Specialist will provide support to Business Development and Customer Service, as we manage both internal freight overflow, and direct freight sourced from clients.

Further, we provide other departments with knowledge of customer trends and requests, allowing those departments to generate increased business activity that fits within our business model and creates margin.

Activities include tracking and reporting, order entry, information processing, operations support and customer relations.


Role and Responsibilities:

1) Shipment Tracking & Document Control

  • This position is responsible for updating customers on the status of shipments as requested, producing and distributing regular reports of status for selected accounts. Surpassing customer EDI requirements and expectations.
  • Ensure that the proper information is collected from customers and other departments including event updates, obtaining relevant load and trailer information, verifying the carrier is aware of relevant details for the load, updating the order status in the system, communicating to stakeholders any potential issues related to the ability to service the load.
  • The Customer Service Specialist is responsible for obtaining all appropriate documentation from drivers/carriers including proof of delivery, customs documents etc.
2) Order Acceptance, Entry & Scheduling

  • Responsible for accepting customer orders under predetermined guidelines.
  • Enter designated order confirming all details are updated with the necessary information.
  • Responsible for appointments being scheduled within the prescribed time.

3) Communication:

  • The communication between the Customer Service Specialist and the customer may include:
  • Order acceptance
  • Order Entry
  • Appointment booking
  • Claim awareness/facilitation.
  • Cost recovery
  • Updating internal and external persons with required information
4) Management & Maintaining Database

  • Responsible for ensuring that any new or updated information on carriers, customers, freight or equipment is properly captured according to SOPs in the various systems to transact properly.
  • Accurate and timely creation of profiles as they relate to providing updated information to internal stakeholders.
5) Administrative Duties

  • Monitoring any requests are being assigned and be aware of which coworker in other departments is accountable for completion.
  • Assist with inbound documents via Transflo and through physical envelopes such as Customs, Bills of Lading, Packing Slips, Proof of Delivery, Driver expense reimbursement etc.
  • Manage document imaging for timely and accurate processing.
  • Support daily POD report processing ensuring CSRs and Planners review orders and change to correct status.
  • Work with the team to develop and improve Key Performance Indicators.
6)Other Duties as assigned.
