The Service Administrator is an integral and vital part of the Service Department by facilitating the review, closing and booking of the customer repair orders and recording and posting of technician's time each day.

This position is crucial to achieve the highest customer satisfaction and dealer profitability by performing his/her duties in accordance with current vendor and our company's policies and procedures.


Duties and Responsibilities:


  • Performing CTH (ADP function) daily for technician times.
  • Issuing vendor sublet purchase orders.
  • Posting all sublet charges to applicable repair orders.
  • Reviewing completed repair orders for items charged out (such as parts, outside purchases, lube, oil and machine earning charges) prior to closing and billing.
  • Ensuring that machine earnings are collected at the correct percentage rate or flat charge.
  • Assisting with the answering of phone calls as necessary.
  • Assisting at the service counter as required.
  • Working closely with accounting office personnel regarding customer account changes, customer credits, rebilling issues and clearing the sublet accounts when necessary.
  • Issue credits to customers as necessary.
  • Processing vendor invoices and closing related purchase orders (including P.O. 'I' function).
  • Obtaining purchase orders from customers in order to close work orders.
  • Preparing and closing of service work orders when required.
  • Reconciling excessive time if noted prior to closing of work order.
  • Keeping abreast of all internal policy changes to maintain effectiveness in this role.
  • Handling customer complaints with integrity and poise, and when necessary, referring dissatisfied customers to the appropriate individuals for resolution.
  • Maintaining a professional appearance and a safe, clean work environment.
  • Attending all Service Department staff meetings as required.
  • Crosstrained to assist in closing, coding and electronically filing warranty claims when required.
  • Other duties as assigned.

Requirements:


  • High School Diploma or equivalent. College or postsecondary education is preferred.
  • Previous experience in Heavy Truck, Automotive or related industry experience preferred.
  • Competency in the following areas required; customer service, administrative skills, team building, proficiency with software and computers.
  • Strong interpersonal skills and customer focus.
  • Excellent written and verbal communication skills.
  • Criminal Record Check.
  • Valid driver's license and Drivers Abstract.

Hourly Wage Rate:
$ $24.00 / hour
