This position provides reception and clerical support to the staff and programs of South Riverdale Community Health Centre and is responsible for receiving Centre clients and guests.

Duties include making appointments, monitoring clinician schedules and providing general administrative support to the members of the Clinical team using an electronic health record.

Some evening and weekend work will be required. This position is expected to work onsite during the COVID-19 pandemic as required.


Responsibilities:


  • Provide reception services for the clinicians, which includes' communicating with clients, answering incoming calls for all clinical staff and directing calls accordingly
  • Respond to general enquires, acquiring services for clients (e.g. taxis, referrals to other agencies) and providing information to the public and other agencies regarding services
  • Respond to the administrative needs of the clinical staff by providing computer work, photocopying, faxing and filing tasks
  • Responsible for the opening and closing of the centre following procedures to ensure the security and safety of the building, staff, clients and guests
  • Open and distribute mail accordingly
  • Screen clients' calls; make appropriate appointments for clinical services
  • Prepare new client charts, retrieve and file charts for clinicians
  • Make arrangements and referrals with external services (e.g. xrays, ECG's, and prescription renewals) as directed
  • Provide administrative support for intakes of clients receiving allied support services within the centre
  • Provide intake and registration of new clients following established protocols
  • Work collectively to manage client waitlists for programs and services
  • Book appointments for all clinical patients using electronic health record
  • Ensure client records and files are accurate and current
  • Update medical record system with appropriate information as needed
  • All other duties as required

Qualifications:


  • University, College and/or medical administrative education
years' experience as a medical secretary or administrative assistant in a clinical or social service related environment preferred

  • Knowledge of community, the health sector including primary care and community health centres
  • Demonstrated experience working with populations who are marginalized, and may have experienced issues of substance use, homelessness, etc., and who may have difficulty accessing primary health care
  • A strong interest in issues affecting people who are homeless, living with a mental illness or substance use, and complex health needs
  • Demonstrated respect for diversity, equity, antiracism and accessibility with the ability to work collaboratively and positively with others
  • Ability to work effectively independently and in a multidisciplinary team environment
  • Proven ability to prioritize and multitask with simultaneous attention to detail
  • Excellent interpersonal skills in dealing with the public
  • Ability to assist people in a mature, friendly and helpful manner
  • Excellent oral and written communication skills
  • Strong organizational skills
  • Ability to be flexible and a selfstarter
  • Knowledge of a second language an asset
  • Police clearance documentation will be required for employment
  • Proof of triple COVID19 vaccination status will be required for employment
