The opportunity

Your key responsibilities

  • Collaborate with other team members on the logístical planning of training events and offsite accommodations and management of onsite support staff
  • Work with the team to manage calendars, webcast and virtual session schedules ensuring recording of live sessions as required
  • Produce/update course materials including translation, facilitator guides and SharePoint sites as needed
  • Collaborate with the team to establish learning requirements by level, monitor consumption and initiate follow up in the Learning Management System (LMS)
  • Support and troubleshoot prior to, during and after learning sessions
  • Draft and manage communications including newsletters, updates to broader team, townhall sessions, SharePoint site, monitor shared mailbox, etc.
  • Manage French language requirements for areas supported, including translation
  • Roster management: identify target learners, finalize rosters with stakeholders and manage rosters for learning programs
  • Facilitator management: Track facilitator availability and scheduling, accreditation and recognition; Lead Train the Trainer and Facilitator Preparation meetings as required; Organize and participate in debriefs with facilitators (and other stakeholders) with focus on continuous improvement
  • Reporting: compile and summarize learning reports, including Continuing Education (CE) credits; status reports to stakeholders; compliance reporting
  • Vendor management: research & explore external vendors where needed; oversee procurement and contracting with external vendors
  • Review invoices and ensure accuracy of coding before sending for approvals and payment
  • Coordinate Canadian attendance at Americas Programs and internal conferences (IGNITE, etc.)
  • SharePoint site management (multiple pages)
  • Work with the team, stakeholders and the talent team to understand learning needs for CBS
  • Collaborate with the wider Talent Development and Learning team and other teams as needed
  • Special projects

Skills and attributes for success

  • Strong written and verbal communication skills and ability to work effectively with multiple groups across learning and the business
  • Strong project management and prioritization skills, able to coordinate multiple projects/initiatives simultaneously and meet demanding timeframes
  • Strong vendor management skills
  • Proven ability to collaborate with geographically dispersed team members, indirect team members, client serving personnel at higher staff levels and support staff
  • Demonstrated ability and confidence working with technology and learning new software
  • Strong attention to detail
  • Strong coaching, consulting and facilitation skills
  • Ability to support and lead change
  • Ability to handle sensitive information in a confidential manner

To qualify for the role, you must have

  • 3+ years of experience in a similar role and a keen interest in developing others
  • Experience working with a LMS (preferably SuccessFactors)
  • Proficient in advanced capabilities in Excel and PowerPoint (use of pivot tables and vlookup)
  • Proficient in Zoom, MS Teams, Office 360 and SharePoint
  • This role involves interaction with internal and external clients and professionals nationally and globally. Professional competency in the English language is therefore a requirement of this role. Bilingualism in both French and English is considered an asset.
