About the Role


We're looking for an Office Coordinator that will be responsible for supporting the administrative needs of NFP's Group Benefits & Group Retirement divisions.

The primary focus of the Office Coordinator is ensuring that all business line needs are promptly and accurately satisfied, all deadlines are met, and service standards are achieved.

What You'll Do

  • In-Office Administrative Duties_
  • Support and manage coordination of incoming and outgoing mail
  • Be responsible for organizing client and staff meetings including but not limited to taking meeting minutes, booking rooms and ordering food
  • Coordinate with onsite suppliers for office items such as coffee, photocopier, shredding, etc.
  • Liaise with building/office landlord (access and key fobs, building issues/maintenance)
  • Scanning mail and other documents and distributing to appropriate staff member
  • General reception duties such as answering main phone line and greeting guests
  • Business Leader Support (4 People)_
  • Assist with presentations or reports for business leaders
  • Support the completion of expenses
  • Group Benefits & Group Retirement Business Line Support_
  • Contracting with insurers and ensuring advisor codes are uptodate and accurate with all carriers
  • Support onboarding and offboarding of new employees ensuring that new hires access is granted upon start and ended at the time of offboarding
  • Assist with the coordination of client webinars and events
  • Other administrative duties as reasonably required

What You Bring

  • Typically, 2+ years in an office coordinator or administrative role preferably in an insurance or finance environment
  • Excellent written and verbal communication skills
  • Ability to successfully interact with a variety of people
  • Demonstrated ability to work independently and as part of a team
  • Excellent organizational skills with the ability to adjust to changing workload and priorities
  • Able to coordinate resources and responsibilities
  • Selfmotivated and determined with positive attitude and sense of urgency
  • Confident, poised and interactive communicates effectively, demonstrates emotional intelligence, and understands how to tailor responses in a variety of dynamic situations
  • Proficient in Microsoft Office Suite with a high proficiency in PowerPoint, Outlook and Excel
  • Experience with SalesForce a plus
