Position purpose:


Reporting to the Senior Manager, Postgraduate Medical Education, This position coordinates clinical placement electives; coordinates the postgraduate residency allocation process (PRAC); acts as the resource person for program administrators and trainees, provides reception services to guests, and; provides administrative assistance to the Operations Manager and team members.


In this role you will:


Coordinates all aspects of the clinical placement electives for over 500 trainees annually, including ensuring compliance in required areas such as: immunization, police record check, completion of online modules, procurement of license to practice medicine in Ontario, procurement of malpractice assurance.

Coordinates placement with program administrator (up to 90) in the hospital setting and ensures effective communication with the trainee in terms of timelines and approvals so that visiting trainees are able to begin their training at one of our 5 partner hospitals on time.


Coordinates the PRAC process through efficient communication with 26 program administrators and program directors in our 5 partner hospitals to determine the number of residency positions (up to 200) available at the University of Ottawa on an annual basis.

This includes organizing and convening committee meetings, creating agendas, coordination of supporting documents and ensures approval and appeal process are completed within timelines as identified by the Ministry of Health and Long-Term Care.


Acts as a resource person for the program administrators (PA and program directors (PD , providing important updates to policies, organizing PA assemblies and retreats (4 events annually) and provides support to the PA executive group, ensuring consistent and clear messaging on instructions, news and correct interpretation of policies and procedures.

Maintains PA and PD distribution lists and sends communications to these groups on an as needed basis.

Coordinates the distribution of PGME training certificates annually to trainees.

Includes determining eligibility based on final evaluations, issuance of certificate to trainee, filing, coordinating with the Royal College of Physicians and Surgeons of Canada and the College of Family Physicians of Canada to indicate trainees' eligibility to sit national licensure exams.


What you will bring:

Postsecondary education in administration or an equivalent of education and work experience

Minimum three years of demonstrated experience in a similar role

Knowledge and experience of postsecondary education programs, and academic policies and procedures

Experience in bilingual administrative writing

Experience in electronic file management.

Ability to work in team and autonomously and produce high-quality work under pressure while meeting tight deadlines

High level of professionalism and discretion/confidentiality.

Excellent organization, analytical and planning skills.

Excellent interpersonal and communication skills.

Excellent customer service

Bilingualism - English and French (spoken and written)
