Opportunity
MacEwan University is seeking up to two (2) individuals as Assistant Registrar, Digital Transformation & Enrolment Systems for full-time continuing opportunities with the Office of the University Registrar.
Reporting to the Associate Registrar, Digital Transformation: Enrolment, Curriculum, and Scheduling Systems, the Assistant Registrar, Digital Transformation & Enrolment Systems provides operational and strategic leadership for MacEwan University's enrolment technology ecosystem across the student lifecycle. The role is responsible for ensuring that enrolment-related systems accurately reflect academic governance, policy, and institutional priorities, while advancing digital modernization, automation, and service transformation.
This position leads a portfolio-aligned team of Functional Analysts who configure, maintain, test, troubleshoot, and continuously improve enterprise systems that support admissions, registration, records, curriculum, fees, financial aid, scheduling, and related enrolment processes. The breadth, timing sensitivity, and regulatory importance of this work require sustained leadership attention across multiple, distinct enrolment domains. The Assistant Registrar functions as a system authority and strategic partner within the Office of the University Registrar (OUR), translating institutional goals into sustainable digital solutions and advising senior leaders on system impacts, risks, and opportunities.
To support the scale, complexity, and growth of the portfolio, this role exists as two parallel Assistant Registrar positions, each accountable for a defined portion of the enrolment lifecycle:
- Admissions, Recruitment, and Transfer
- Records, Registration, Fees, Financial Aid, and Curriculum
Both positions operate with equal scope, authority, and expectations, and work collaboratively to ensure an integrated, end-to-end enrolment experience.
Key responsibilities include:
- Providing leadership for a portfolio with distinct operational rhythms, governance cycles, and stakeholder demands, requiring focused oversight and decision-making;
- Formally supervising a portfolio-aligned team of Functional Analysts;
- Providing strategic and operational direction for enrolment systems within the assigned portfolio, including system configuration, workflow design, data quality, testing, documentation, and support;
- Ensuring system readiness for academic and administrative cycles such as admissions processing, term creation, registration, curriculum changes, fee assessment, financial awards, and records maintenance;
- Serving as a key contributor to OUR and institutional digital transformation initiatives related to enrolment, academic structure, and student services;
- Providing expert analysis on the feasibility, risk, and impact of proposed system changes, automation opportunities, and process redesigns;
- Acting as a primary operational contact for faculties, schools, and administrative units within the assigned portfolio; and
- Building strong partnerships with Associate Registrars, managers, and senior leaders across the OUR to align system capabilities with operational and strategic goals.
Skills
You will have:
- Demonstrated leadership experience with technical or functional teams in a complex environment;
- A deep understanding of enrolment systems and academic administrative processes;
- Strong knowledge of how academic governance and policy translate into system configuration;
- Excellent analytical, problem-solving, and decision-making skills;
- Strong communication and relationship management abilities, including the ability to influence senior stakeholders;
- The ability to manage multiple priorities in a deadline-driven environment; and
- A commitment to service excellence, modernization, and continuous improvement.
Qualifications
- A minimum of a bachelor's degree.
- A minimum of 5 years of experience working with student information systems or enterprise administrative systems in a post-secondary environment.
- A minimum of 3 years of experience leading or supervising technical, functional, or analytical teams.
- Experience with large-scale system change, ERP implementations, or digital transformation initiatives is considered an asset.
- An equivalent combination of education and experience may be considered.
