Position Overview


The Administrative Assistant, Member Engagement & Team Support will effectively and pro-actively provide a broad range of administrative support to the Member Engagement team within Public Affairs, with specific responsibility for coordinating member engagement tasks and activities.


This role requires working closely with Member Engagement team members, and all Public Affairs staff, to understand priorities, plan work/activities, monitor progress and track important information to support the member engagement function and the Public Affairs department in general.


In this role, you will:

Foster teamwork:

Work cooperatively and effectively with colleagues in a team-focused approach, including cross training of duties, to support Public Affairs objectives and the AMA's service to physicians.


Support member engagement activities:

Liaise with members and stakeholders to progress engagement work, assisting with member engagement programs, event marketing and/or on-site events and focusing on supporting the work of the member engagement team.


Committee and meeting support:

Provide administrative support for committees and other meetings as assigned; including scheduling, overseeing logístical details, assisting with agenda and document preparation, preparation of minutes, tracking action items and providing on-site or virtual administrative support.


Focus on client needs:
Assist with coordination and tracking of member and public correspondence. Contribute to development/procurement and dissemination of promotional and informational content for members.


Write and edit:
Utilize superior proof reading/editing skills to create and/or edit letters, business communication and PowerPoint presentations.


Organize:

Work closely with Public Affairs colleagues to set priorities, plan work/activities, monitor progress and track important information to support the function of the Member Engagement team and the Public Affairs department in general.


Education and Experience

  • 2 years postsecondary diploma with a major in business or administration.
  • 4 years of administrative experience including:
  • Superior knowledge of Microsoft Office is required, including expertise in developing PowerPoint presentations and other documents as required.
  • Demonstrated experience and skills in letter composition and grammar, editing and formatting of documents with a high degree of accuracy.
  • Superior knowledge of Zoom platform (both the meeting and webinar environment).
  • Must have the ability to coordinate meetings and take minutes.
  • Knowledge of/familiarity with Microsoft Teams is an asset.
  • Experience managing/processing expenses is an asset.
  • Experience posting content to corporate website is an asset.

Skills

  • Strong writing skills required, particularly with respect to letter composition, business communication and appropriate transcription/synopsis of recorded meetings.
  • Experience with scheduling, coordinating and hosting meetings, including taking minutes (action items, responsibilities and summary of discussions that took place).
  • Superior proof reading/editing skills.
  • Superior communication and collaboration skills, taking responsibility for own work but able to work with teammates on a set of shared tasks, sometimes picking up for a teammate in the middle of an initiated project.
  • Excellent judgment and discretion when dealing with AMA members; capable of assuming responsibility and responding to the work demands; flexible and able to prioritize; willing to take direction but also be able to work with mínimal supervision or direction; able to anticipate, manage and plan.
  • Fully able to work effectively in a virtual environment (Zoom, MS Teams).

Other Information

  • This position requires some evening and weekend hours in order to support meetings overtime and/or banked time are applicable.
  • Travel outside of Edmonton may be required (approx. 2 times/year) to support inperson meetings and events.

How to Apply
The salary for this role is $51,262 - $66,640.
