About the Opportunity:


Reporting to the Director, Administration-Department of Medicine, the Manager is responsible for providing leadership and support for the subspecialty medicine services.

The Manager is responsible for all aspects of recruiting, managing and retaining administrative support staff for Divisions and to ensure that resources are efficiently managed within each Division.

The Manager also works collaboratively with Division Heads, physician teams and operational leadership focusing on analysis of existing practices/processes; identifying opportunities for improvement for patient care and quality initiatives.


  • Provides leadership and ongoing support to the Division Head for operational and administrative activities
  • Proactively manages relationships with physicians to ensure clinical and academic objectives are met
  • Creates an environment which promotes and fosters professional accountability and responsibility
  • Responsible to ensure division specific orientation and onboarding of administrative staff
  • Establishes performance standards and expectations for divisional administrative staff and ensures these are maintained collaboratively within the team
  • Responsible for ongoing performance reviews, coaching and feedback
  • Manages staff attendance, facilitating improvements where required
  • Identifies and facilitates resolution of risk management issues
  • Responsible for managing, reporting and analyzing divisional waitlists and identifying and implementing improvement initiatives together with the Division Head and operational leadership where required
  • Reviews financial reports and implements improvement processes and actions for budget variance
  • Analyzes reports of divisional clinical and academic activity and works with the Director, Administration and Division Head to ensure optimization of resource utilization to meet objectives
  • Provides direction to administrative staff for collection of annual divisional clinical, academic and research activity/productivity
  • Coordinates space/facilities, information technology and equipment planning for divisional activities
  • Understands, communicates, and acts upon organizational and HR policies, industry trends and collective agreements

About You:

We would love to hear from you if you have the following:

  • Master's Degree in Health Services Administration, Business Administration or Public Administration preferred or equivalent combination of academic qualification and leadership/management-based experience will be considered
  • A minimum of five years progressive experience in a coordinator/supervisory/management role, preferably in a tertiary level academic health care facility, and a demonstrated ability to thrive in a demanding setting.
  • Experience supervising/managing staff in a unionized environment an asset
  • Excellent analytical, organizational, and decisionmaking skills
  • Excellent customer service, interpersonal and relationship building skills including consultative, coaching, mediation and conflict resolution
  • Demonstrates high degree of independent decision making, selfdirection, motivation, change management knowledge and team building/leadership skills
  • Proven organizational ability and effective time management skills
  • Demonstrated knowledge of principles of health system management including financial, organizational privacy, data access and associated laws and regulations
  • Proven ability to identify innovative solutions and recommendations
  • Lean Six Sigma training would be considered an asset
  • Competencies in other languages an asset, French preferred
