Who you are:
We're looking for a part-time Office Coordinator who is proficient, highly motivated, detail-oriented and interested in long term growth alongside our business.
Reporting to the VP, Talent and Culture you will be supporting our employee experience by ensuring a seamless office operation.
This role will be a minimum of 3 days a week in the office.We offer flexibility to set core hours, with a minimum requirement of 12 hours per week and possibility to work up to 20 hours per week.
Let's give you a purpose:
- Ensuring organization and general cleanliness of the office environment
- Primary onsite "go to person" for all administrative needs of the business
- Facilities setup and management for Toronto office
- Reception duties:
- Welcoming, greeting, and directing visitors appropriately
- Ordering snacks / beverages for the office
- Receiving and sorting daily office mail
- Ordering office supplies, monitoring stock levels and managing a records database
- Keep updated records of Toronto office expenses and costs
- Liaise with vendors including suppliers and building management
- Arranging repairs and enhancements for the office
- Office furnishing for Toronto office
- Parking
- Organizing company events, team socials, and wellness initiatives
- Booking restaurant reservations for employee events in Toronto
- Ordering and shipping of prizes for team social winners
- Assisting with employee onboarding and offboarding
- Access card assignment and management
- New hire kits
- Assisting IT with hardware collection and shipments
- Ad hoc requests from the VP, Talent & Culture
What you'll bring along:
- A relevant college diploma in progress or near completion, is preferred
- Relevant administrative support experience is preferred
- Innovation and improvement mindset suggest ways to improve and innovate processes, systems, etc. to optimize team and greater employee experience
- Ability to balance employee experience with business requirements
- Selfstarter comfortable with ambiguity in a fast paced environment
- Excellent computer skills, including a high degree of proficiency in Google Suite
- Very organized and agile with the ability to prioritize
- Reliable, personable and professional
- Experience with handling confidential information
- Excellent oral and written communication skills
