    The Data Administrator is responsible for managing a variety of database-related tasks. This role supports different departments within the organization by ensuring the provision of accurate, complete, and current data, reports, and information. There is a strong focus on data integrity to ensure reliability. The Data Administrator extracts data from databases and creates useful reports for internal and external clients. This position also involves inputting and updating information into our database.

    Key Responsibilities:

    • Collecting, inputting, and maintaining data within our database system.
    • Performing accurate screening and cleaning of data sets to meet project goals and deadlines.
    • Processing weekly electronic cost files into the database and running reconciliation.
    • Monitoring and analyzing data quality in collaboration with the Manager and team to resolve any discrepancies through necessary corrections on a daily/weekly/monthly/quarterly basis.
    • Generating reports and verifying them to ensure data accuracy, completeness, and currency - flagging problems and coordinating with the Manager and team for resolutions.
    • Assisting with researching, investigating, and resolving a range of data issues quickly and professionally.
    • Extracting and distributing routine reports from the database for both internal and external use.
    • Responding to ad hoc report requests by gathering data requirements, extracting and manipulating data in Excel and/or Power BI/Tableau, and building custom reports for analysis purposes.
    • Providing training on Parklane software in person, online, and over the phone to both internal and external users (approximately 10% of the time).
    • Administering applications by creating usernames/passwords, applying login rules, setting security settings, setting up data transfers, and troubleshooting application issues.
    • Communicating with external and internal clients via telephone and email to clarify discrepancies and requests for information.
    • Creating and updating Excel spreadsheets, project plans, training, and instruction documents.
    • Sorting and organizing incoming correspondence, managing workflow, and prioritizing the workload.

    Key Skills and Experience:

    • Minimum of a Post-Secondary College/University Diploma.
    • At least 3-5 years of experience in Data Management and/or an Administrative role.
    • Minimum of 2 years' experience in data analysis, data processing, reporting, or a related role.
    • Proficient computer skills with Microsoft Office Suite.
    • Skilled in manipulating data in Excel, including VLOOKUP, basic formulas, and pivot tables.
    • Ability to work accurately with strong attention to detail in an environment with potential interruptions.
    • Demonstrated analytical capabilities with strong problem-solving skills.
    • Full understanding, respect, and compliance with confidentiality policies and procedures.
    • Ability to review processes and workflow to improve efficiency and achieve or exceed department goals by providing input and recommendations for process and tool improvements.
    • Knowledge of, or a strong ability to learn, the Parklane Software system.
    • Knowledge of WSIB practices, Power BI/Tableau also considered an asset.
    • Must be able to maintain positive working relationships with others, both internally and externally, and work well in a team environment.
    • Highly motivated, energetic, organized, reliable, and a self-starter.
    • Ability to embrace change with positivity and enthusiasm.
    • Excellent verbal and written communication skills.

    Nice-to-Have:

    • Bilingual proficiency in both French and English is considered an asset.
