The role:

The
Office Coordinator will play a critical role in the day-to-day management of the Mark Anthony Group Vancouver office.

This high energy, proactive individual will enhance our positive, welcoming space, ensuring the office is well organized, running smoothly and efficiently while fostering a positive environment for a highly productive, fast paced office and supporting leaders with general administrative tasks.


This is a busy role with a ton of scope to be involved with several employee engagement projects across the 43,000 sqft office and multiple business units.


What you'll do:


  • Office Services _
  • Coordinate office administrative procedures and review, evaluate and implement new procedures
  • Administer relationships with external suppliers of office supplies, courier and other services, ensuring adequate service levels and cost containment
  • Manage and coordinate highvolume shipping / receiving, distribute mail and interoffice mail on daily basis
  • Host and liaise visitors ensuring they experience Mark Anthony values and "wow" factor
  • Support in managing and maintaining office security cards and employee parking passes
  • Manage office supplies within budgeted levels and ensuring quality of service and adequate inventory
  • Partner with the Office Manager to succinctly communicate office updates and weekly announcements
  • Support in managing and executing our 1year milestone anniversaries program
  • Partner with Office Manager, People Operations and Internal Communications to plan, develop and implement office events and social activities to drive employee engagement and participation
  • Assist in preparing leaders and other EA's for meetings and events including arranging catering, preparing materials, and scheduling people, locations & resources
  • Maintain cleanliness of office in a timely manner, including meeting rooms, shared offices, common areas, entry ways and kitchens
  • Maintain active membership in OHS Committee, working with other members, building operators and contractors to address any issues
  • Budget Planning and Expenses_
  • Support in tracking office expenses and invoices in a timely manner
  • Assemble special reports and PowerPoint presentations, as required
  • Accommodation _
  • Manage and maintain the Vancouver office floor plan and hot desk assignment via _Envoy_
  • Assist and action on equipment, supplies and facilities requests (e.g. gym access, bike lockers etc)
  • Facilities Management _
  • Coordinate day to day issues with landlord for facility repairs, complaints, HVAC and maintenance, as required

What you'll bring:


  • Undergraduate/bachelor's degree; business, or related discipline
  • 2+ years of front desk and/or administrative experience
  • Advanced computer skills (MS Office)
  • Excellent oral and written communication skills
  • Must be available to work Monday-Friday 8:30am5:00pm
  • Level 2 First Aid certification considered an asset
