AP Dynamics is looking for a talented and motivated Administrative Assistant to join our team in Calgary, AB.

The Administrative Assistant will be responsible for the following duties:


  • Create and issue invoices related to projects
  • Maintain Vendor relationships and enter payables
  • Complete the monthly payroll process.
  • Manage the employee benefits program.
  • Maintain HR records
  • Perform Bank and Credit Card reconciliation
  • Perform payment collection
  • Preparing weekly bank deposits
  • Manage office supplies
  • Answering phone calls, supporting visitors, managing reception area.
  • Assisting Executive Team with administrative duties
  • Acts as an assistant to the project managers as required
  • Assist project manager with data entry in the Project Management Software
  • Perform document transmittal through client systems
  • Assist the HSE coordinator with the compliance process of contractor management services providers (e.g. Avetta, ComplyWorks, etc)
  • Participate in the AP Dynamics Health and Safety Program according to the level of responsibility
  • Participate in the AP Dynamics Quality Management System according to the level of responsibility
  • Other duties as assigned

Requirements:


  • Bachelor Degree in Business Administration or equivalent education required.
  • 3 years of experience in Project Administration.
  • 3 years of bookkeeping experience.
  • 2 years of experience with QuickBooks.
  • Experience with ERP/time tracking software is considered a significant asset.
  • Experience in Document Control is considered an asset.
  • Excellent Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat.
  • Strong Organizational Skills and attention to detail.
  • Other languages such as French and Spanish are assets.
  • Excellent written and verbal communication, and interpersonal skills, and
  • Selfmotivated to professional skills and knowledge.
