Required Skills:


JOB DESCRIPTION

Responsibilities:


  • Greet all visitors, answer, screen and direct telephone calls
  • May complete building tours for new staff and guests
  • Receive and sort mail and deliveries
  • Emergency response team member (Fire Safety, First Aid, Evacuations)
  • Administers office security program: issuing cards and managing access privileges as requested
  • Preparation and handling of incoming and outgoing office mail and couriers
  • Special assignments related to records administration, administrative assistance, communications, and other facility related requests
  • Event preplanning and hosting; may be required to work occasional evenings and weekends to support events and after hours workplace activities
  • Responds to facilityrelated requests and inquiries; ensure timely and quality service, escalates as required.
  • Has some knowledge of building systems: HVAC, lighting, plumbing, and the trades and 3rd parties that maintain them: janitorial, building maintenance, trades, etc.
  • Stocks paper and coffee stations
  • Responds to facility related requests
  • Administers inventories for various building supplies
  • May respond to after hours facilities related calls
  • May initiate Accounts Payable process for approvals including coding of invoicing and submitting them in the online approvals system
  • Prepares seating charts, maintains front office and emergency procedures documentation, and emergency response contact lists
  • Maintains calendar of events including holiday celebrations, movie screenings, and fun staff activities
  • May recommend improvements to operations within own function
  • May train and lead others who fill in for their role during breaks and holidays
  • Front of house facing role (Reception Desk)

Requirements/Qualifications:


  • High school diploma required; Business Administration related coursework an asset
  • Proficiency with

Microsoft Office:
Word, Excel, Access, Outlook, and PowerPoint

  • Demonstrates a positive attitude with a growth mindset
  • Flexible, adaptable, and personable
  • Ability to work effectively and efficiently independently with mínimal supervision
  • Please Note: This position is a temporary 6 month contract._
