Reporting to the Controller, the Payroll and Benefits Administrator is an integral member of the Finance department and is responsible for processing payroll and benefits administration for all Crofton House School employees.

In addition, the Administrator supports the Controller and Director of Human Resources with administrative and general accounting duties as well as providing project support.


There is the possibility for this role to be eligible to work one day a week remotely after the probationary period has been successfully completed.


Key Accountabilities/Responsibilities:


  • Process semimonthly payroll for approximately 200 employees, hourly and salaried, full time and part time, including payroll transactions such as RRSP, leaves, overtime, vacation, retirement, terminations, Community Dining Program, United Way, etc.
  • Administer employee benefits program in accordance with school policy and maintain employee database with benefit providers; including enrolling and terminating employees, reconciling benefits and preparing payments to respective agencies such as United Way, SunLife, Granville West, etc.
  • Complete T4s and Record of Employments as required
  • Prepare various government reports for filing as required, such as HRDC, CRA, etc.
  • Review, verify and calculate timesheets for employees and teachers on call
  • Prepare annual compensation memos for all employees from information provided by Director of Human Resources
  • Respond to employee queries concerning benefits and pay
  • Prepare and submit annual teacher status report to the Ministry of Education
  • Prepare monthly payroll journal entries and monthly reconciliations for General Ledger accounts
  • Prepare quarterly and annual WorksafeBC reconciliations
  • Prepare various year end audit working papers including vacation accruals, GL reconciliations, and data analysis, as well as provide adhoc documentation and information to auditors
  • Provide administrative support to the Director of Finance
  • Submit Form 7s to WorksafeBC and manage active claims
  • Attend RRSP Committee meetings, Health & Safety Committee meetings, and United Way Committee meetings as the payroll representative
  • Schedule, attend, and prepare minutes for the Risk Management Committee meetings
  • Provide payroll overview at annual employee orientation session
  • Maintain confidentiality in all matters
  • Other duties as required

Knowledge, Skills & Abilities:


  • Working knowledge of UKG/Ultipro payroll and HR system required
  • Previous experience with UKG/Ultipro Business Intelligence reporting an asset
  • Excellent communication and interpersonal skills
  • Attention to detail and ability to handle multiple priorities
  • High degree of diplomacy, discretion and tact
  • Ability to handle sensitive and highly confidential material
  • Strong technical skills and advanced knowledge of Excel
  • Strong knowledge of accounting principles
  • Solid working knowledge of employment legislation
  • Flexibility and ability to juggle many tasks

Qualifications & Experience:


Minimum Qualifications

  • 5+ years accounting and payroll/benefit experience
  • Certified with National Payroll Institute (formerly Canadian Payroll Association)
