Responsibilities:


The Administrative Assistant will be responsible for supporting many of the administrative and communication processes within the Department of Medicine and will support the Associate Director - Administration & Finance, the Department Chair and other Department faculty leaders in special projects as required.

The Administrative Assistant will also facilitate the development of communications content by obtaining, compiling, and formatting materials, in accordance with Western and Schulich branding and communications guidelines.


Qualifications:


  • Education:
  • 3 Year University Bachelor's Degree
  • Experience:
  • 3 years' administrative experience providing customer service and support to a senior leader in a business office setting
  • Experience working with complex academic data preferably in a University or Hospital environment
  • Experience crafting communication materials
  • Knowledge, Skills & Abilities:
  • Ability to work independently, bring sound judgment and analysis to difficult situations and provide excellent customer service
  • Familiarity with scientific terminology, library citation standards, and data management
  • Demonstrated ability to ensure data entry, integrity and reporting
  • Ability to convey ideas and concepts into understandable and comprehensive instruction
  • Excellent verbal and written communication skills and confidence dealing with all levels of an organization
  • Sensitivity to confidential information, and acts with tact and diplomacy
  • Demonstrated analytical ability with a working knowledge of accounting principles
  • Demonstrated ability to research/investigate issues and resolve problems
  • Strong attention to detail and proofreading abilities
  • Ability to work in a fluid and challenging work environment with changing deadlines
  • Flexibility to travel to all hospital sites and attend meetings outside of regular business hours (such as 7 AM or 6 PM) as required
