Administrative Coordinator:


The Sustainability Education Research Institute (SERI), which is located in the College of Education of the University of Saskatchewan, Canada, is seeking an Administrative Coordinator to provide financial, administrative, logistics, and communications support.

The Institute is directed by Prof. Marcia McKenzie and is an active research hub focused on sustainability and climate change education policy and practice.


Primary Purpose:
The primary purpose of this position is to provide exemplary research administrative support for the Institute.

This will include providing administrative, financial, communications, and logistics support for the Institute, with a primary focus on the MECCE Project.

The position also provides support to the Institute's team in meeting and scheduling coordination and will be responsible for the successful completion of special projects.


Nature of Work:

Reporting directly to the MECCE Project Manager and ultimately accountable to the MECCE Project Director, this position is part of a cohesive, team that works across international boundaries.

The position is of average complexity, the incumbent will exercise decision-making within established guidelines. Work must consistently meet high standards of accuracy in a face-paced, deadline-driven environment. The work is very detailed, requiring skills in prioritizing in order to meet external and internal timelines. There is a strong emphasis on anticipating requirements and creating solutions. Discretion is required as the position has access to highly confidential information.


Typical Duties and Accountabilities:


  • Overseeing the daytoday management of human resource processes (e.g., recruitment, hiring) and unit finances (e.g., payroll, accounts payable and receivable, bookkeeping, financial reconciliations, budgeting, financial reporting).
  • Providing timely and effective administrative support for the research team, including scheduling meetings, and gathering or creating background and meeting materials.
  • Preparing official correspondence and communications such as drafting, editing, proofreading, and designing web pages, brochures, and newsletters.
  • Carrying out logistics and event planning support, including for team members travelling for meetings, conferences, and events.
  • Ensuring efficient operation of the Institute's filing systems, offices, living wall, equipment, and supplies.
  • Ensuring project compliance and acting as a source of advice regarding relevant university and Tri-Agency policies and requirements.
  • Exercise decisionmaking and problemsolving to ensure priorities and deadlines are met and take initiative to move beyond completion of assigned tasks to plan for future changes or requirements.
  • A commitment to teamwork and positivity is essential, along with an ability to create and nurture positive working relationships.
  • Provide interactive, highquality support to research teams and the Institute's networks.
  • Work effectively with other offices (Colleges/Units) to support the Institute's administration needs.
  • Other duties as assigned.

Education:
Relevant post-secondary education is required. Accounting or other financial training is considered an asset. A combination of relevant education and experience may be considered.

Has strong financial management skills; exceptional organizational and time management skills; proven ability to work on multiple projects with competing demands to meet deadlines; demonstrated aptitude for successfully working in a team oriented environment; demonstrated sound judgment, tact, discretion, and professional integrity; professional in presentation; exemplary interpersonal and communication (verbal and written) skills; strong attention to detail; ability to work independently, take initiative and anticipate future needs, issues and events; proven problem solving abilities; conflict management skills; experience with financial account management and a demonstrated knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint); Wordpress and MailChimp an asset.
