DUTIES AND RESPONSIBILITIES:


This position provides support to students and staff and performs a variety of duties associated with the supporting the Access and Support Centre (ASC), Coaching, and the Campus Health and Wellness Centre at the Whitby campus within the Student Success Centre (SSC).

The incumbent is knowledgeable and sensitive to the educational needs of students with exceptionalities; students who are struggling academically and students seeking career clarification; or require referral to counselling services, and require coaching in addition to the policies of Durham College.

The incumbent will represent the SSC in a professional manner.


Customer Service:


  • Represent the Student Success Centre (SSC) in a professional manner.
  • Provide referrals to students as appropriate.
  • Schedule appointments for students to meet with advisors in ASC, CWC and Career Services.
  • Followup with registered students on behalf of the centre as needed.
  • Respect confidentiality of student information (verbal and written).
  • Respond appropriately to students or parents in distress.

Clerical Support:


  • Enter information into databases and print off reports (utilizing Banner).
  • Enter student contact information into clockworks database, with each new student/appointment
  • Maintain correspondence, distribute and receive student intake forms, create student files.
  • Facilitate the peer tutoring process by providing information, referrals, and arranging peer student/tutor meetings
  • Provide photocopies and collate as required.
  • Maintain filing system for office.
  • Provide clerical support to department staff as required.
  • Receive and sort mail for the department.
  • Ensure office supplies and equipment are tracked and replaced as needed
  • Ensure staff absences are communicated to the directors of the service areas immediately to ensure alternate service plan can be put into effect.
  • Record and maintain attendance records for the department staff in Whitby and for ALS in Oshawa.
  • Schedule, prepare agendas and record minutes of staff meetings.
  • Ensure the SSC reception area is welcoming and well maintained.
  • Oversee the proper disposal of highly sensitive/confidential student records in accordance with the SSC's record archiving plan.

QUALIFICATIONS:


  • Minimum of a twoyear diploma in Office Administration, Medical reception or Business Administration
  • Minimum of two years of work experience in office, reception and customer service.
  • Must have experience and demonstrating understanding and sensitivity to individuals with various exceptionalities.
  • Mental Health First Aid, and ASIST training certifications are preferred.
  • Experience in Oscar and Clockworks systems is an asset.
  • Excellent customer service/interpersonal skills.
  • Strong oral and public speaking skills and superior writing ability, creative and excellent organizational and problemsolving skills.

Hours: 35 hours per week (1) one hour lunch; Mon - Fri (8:00 am - 4:00 pm)
