SUMMARY


Reporting to the Director of Finance, the Financial Coordinator is responsible for accounts payable administration, member travel reimbursements, and payroll processing which includes meal allowances, shift/front-line premiums, court time/overtime and parking service wide, as well as processing part-time (P/T) wages.


Some General Duties Include:


  • Collecting and processing time sheets, calculating weekly P/T wages including statutory and holiday pay, and process by direct entry into the PeopleSoft Payroll System (PPS), meeting the City of Hamilton's payroll data entry deadlines and standards.
  • Balance payroll entry through downloading Microsoft (MS) Excel files from the PPS and match to payroll source documents for accuracy.
  • Maintaining and updating parttime hours worked for each employee, including job codes, pay grades and steps for collective agreement seniority purposes and distribute this date to each employee's home department for each pay period.
  • Processing Employee Change Notices and calculating retro and process pay, including performance and acting pay
  • Preparing documentation such as cheque requisition forms, statements of millage/travel and other expenses.
  • For full details of duties, refer to job description. Collect P/T timesheets, calculate weekly P/T Wages payroll including stat holiday pay, and process by direct entry into the PeopleSoft Payroll System (PPS), meeting the City of Hamilton's payroll data entry deadlines and standards.
  • Balance payroll data entry through downloading Microsoft (MS) Excel files from the PPS and match to payroll source documents for accuracy.
  • Maintain Excel spreadsheet of all parttime hours worked for each employee, including their job codes, pay grades, and steps for collective agreement seniority purposes and distribute this date to each employee's home department for each pay period.
  • Monitor P/T hours worked for step increases, and process Employee Change Notices (ECNs). Send ECN to Human Resources for authorized changes in PPS.
  • Calculate all applicable retro pay and process pay, including performance pay for next payroll cycle. Calculate and process Acting pay for all HPS members as applicable and required.
  • Determine and administer all members annual one hour association time fee on to TMS Perform general inquiries in the PeopleSoft Financial System (PFS) for status of vendor payments, and purchase order generation and followup, as required.
  • Prepare Statement of Mileage and Other Expenses forms for approval of the Director
  • Finance.
  • Direct, assist, and prepare HPS members, including the members of the Hamilton Police Board, with Travel Expense Forms and submit them for approval of the Director
  • Finance, in accordance with the City of Hamilton's Travel Policy, including the calculation of travel costs and obtaining appropriate backup documentation.

REQUIRMENTS

Education & Experience

  • Minimum one (1) year College or University Certificate in Accounting or Finance, or a related field of study.
  • Minimum of six (6) months office experience required, including previous data entry experience, in a computerized work environment.
  • Minimum (1) year experience in payroll, accounting.
  • PeopleSoft system experience would be an asset.
  • Must possess a Canadian Payroll Association Designation, Payroll Compliance Practitioner (PCP).

Skills and Competencies

  • Must be able to use a personal computer, accurately keyboarding and data entry skills (50 words per minute), solid MS Excel spreadsheet preparation and manipulation skills, and basic office reading comprehension and business math concepts.
  • Must possess good verbal and written communication skills, planning and organization skills, and produce accurate work with a high degree of attention to detail
  • Goal oriented and reliable, in order to meet payroll deadlines
