To support us on our journey, Sinai Health System is looking for a
Medical Secretary to support our
Special Pregnancy Program - OB Program at our
Mount Sinai Hospital Campus.



Responsibilities:


  • Checkin patients and prepare billing sheets for OHIP patients.
  • Prepare billing sheets for nonOHIP patients.
  • Book New OB consults and Non-Preg consults.
  • Schedule appointments and register patients electronically.
  • Check out patients and book followup visits, as required, and coordinate with other specialist appointments and tests (Fetal Echo, Genetics, Paediatrics, Hematology, Nephrology, etc.).
  • Book Csections, ECVs, inductions and cerclages by coordinating available OR time in EOPS and L&D, consult doctors' schedules for availability, complete online Advanced Booking Form, record in patient's Astraia file, and notify the respective physician and their secretary of the procedure date and time.
  • Maintain patients' demographics in SPP.
  • Retrieve and prepare patient charts for upcoming clinics.
  • Prepare and print lists of patients for clinics each day.
  • Prepare antenatal records for patients over 32 weeks and give to Service Assistant to deliver the records to L&D, EOPS or 15 Murray, as necessary.
  • Fax appointment notifications to referring physician.
  • General clinical clerical support for the department.
  • Assist with organizing and filing results and reports into patient charts seen in clinic.


  • Job Requirements

  • Successful completion of a Medical Office Administration or related field from an accredited educational institution.
  • Minimum of two (2) years of related experience preferably working within a clinic/health environment.
  • Proficiency with medical terminology and medical dictatyping preferred.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and electronic appointment booking.
  • Proficient in use of Electronic Medical Records (Accuro) preferred.
  • Demonstrated knowledge of CIS, ASTRAIA, and POWERCHART preferred.
  • Demonstrated work ethic, positive client focused attitude, superior professionalism, dependability and reliability, demonstrated commitment to providing outstanding customer service.
  • Superior written/oral communication and presentation skills, excellent interpersonal and relationship building skills, ability to effectively convey factual information and detailed explanations.
  • Superior time management, organizational, multitasking, and selfplanning skills displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work.
  • Demonstrated ability to make decisions, problem solving, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries.
  • Ability to work effectively as a strong team player on the multidisciplinary team, and ability to work efficiently in a fastpaced environment.
  • Demonstrated maturity and an ability to effectively interact with all levels of staff, patients, and their families.
  • Ability to be compassionate with patients/couples with pregnancy complications.
  • Demonstrated satisfactory work performance and attendance history.
