THE OPPORTUNITY


Pluribus Technologies is looking for an outgoing and highly organized Executive Assistant reporting directly to the Chief Operating Officer and acts as a key support to the operations department.

In this role, you will assist with the maintenance of the overall day-to-day operations of the office, while acting as a force-multiplier for the efforts of the Chief Operating Officer and his team.

Working closely with the Operations and Administration teams, you will assist with the planning and coordination of administrative and operational activities to support the COO with managing their time efficiently.

The overarching goal of this role is to provide a high standard of operational and administrative support, that drives our collaboration and collective successes.

To be successful as an Executive Assistant, you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills.

Ultimately, an outstanding Executive Assistant should be able to ensure the smooth daily operations of a business.


PRIMARY RESPONSIBILITIES

  • Reporting directly to the COO, assist COO and Executive team with management of daily operational activities
  • Track COO's tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments
  • Executive administrative support and travel booking
  • Assisting with operational activities as directed by the COO in the Corporations' subsidiaries
  • Oversee general office operations and facilities maintenance for head office including basic tech support and ordering office supplies as needed
  • Planning and organizing ordering and logistics for company events, meetings, employee engagement activities, and travel & accommodation
  • Act as a liaison between customers and company personnel in a bid to provide personalized services
  • Assisting with project management by creating assignments, tracking progress, and resolving issues
  • Preparing and maintaining operations documents and reports
  • Liaising with Board, staff, key stakeholders, counsel, partner organizations managing internal and external stakeholder relations
  • Provide support to other leaders on special projects, and tasks as required

KNOWLEDGE AND SKILL REQUIREMENTS

  • Selfmotivated proactive person with a positive attitude
  • Selfstarter with strong problemsolving skills
  • Strong organizational and computer skills
  • Advanced competency in Microsoft Office (Outlook, Excel, PowerPoint, Word and SharePoint)
  • Excellent oral and written communication skills

  • Excellent organizational and time management skills
  • Ability to handle confidential and sensitive information using discretion, confidentiality, and good judgment to handle C-Level matters
  • Ability to work in a fastpaced environment with competing priorities
  • Ability to interact with individuals at all levels within the organization

EDUCATION AND WORK EXPERIENCE

  • College level or bachelor's degree
  • At least 5 years' experience supporting C-Level Executives
  • High level of proficiency of computer software programs like Microsoft Excel, Word, PowerPoint, Outlook, and video conference systems
  • Strong ability to accurately maintain electronic calendars (Outlook), reconcile scheduling conflicts, coordinate meetings, and schedule the day's activities appropriately

WORK ENVIRONMENT AND PHYSICAL DEMANDS

  • Conditions and hours typical of an office environment
  • Partial Remote must be available to visit head office (downtown) for office management, when necessary, typically two days a week, more so when visitors are in town; work remotely for remaining time
