Position Responsibilities:


  • Independently performs Document Control on assigned projects, including receiving. cataloguing and distributing project documents, as well as maintaining associated project document logs and status reports.
  • Coordinate and manage internal review cycles of 3rd party vendor documentation.
  • Ensures timely transfer of electronic files to/from clients and vendors in support of design and procurement processes.
  • Support the development of internal Electronic Document Management systems and their implementation and training.
  • Ensures all required fields of information on documents, transmittals and requests are accurate and compliant with client and internal SDE standards.
  • Responds to internal and external drawing and documentation requests.
  • Provides support to Project Managers and related personnel, including (but not limited to) performing administrative tasks such as scanning, copying, printing, faxing, filing, as well as the preparing of various reports and general document generation.
  • Coordinate project meetings, maintain meeting minutes and status reports and action plans.
  • Assist the project manager in preparing project management plans and related documents and keep them updated within lifecycle of project.
  • Assist the project manager and project engineers in the planning, set up and tracking of projects, and preparing reports and presentations and responding to client information requests.
  • Reviews and edits documentation to comply with company branding and grammar guidelines.
  • Maintains appropriate filing of issued & received project documents (electronic and hard copy).
  • Provides assistance in the preparation, distribution, and cataloguing of materials related to the Company's Quality Management System, ensuring that files are organized, uptodate, and accessible.
  • Communicates with all levels of staff and clients in a professional manner.
  • Performs other administrative tasks as requested.

Qualifications

  • Experience in an office/project environment (administration preferred) or postsecondary education in administration is required.
  • Strong understanding of Microsoft Office (Word, Excel, and PowerPoint).
  • Knowledge working with electronic databases and revision control systems an asset
  • Ability to produce quality work with a high degree of accuracy and consistency.
  • Ability to exercise independent judgment in planning, scheduling, and organizing work assignments.
  • Strong interpersonal skills and the ability to connect with individuals in multiple levels of the company.
  • Adaptable and efficient in handling multiple assignments.
  • Team player with good facilitation skills and a client focus.
  • Ability to use discretion and to maintain strict confidentiality.
  • Excellent written and verbal communication skills.
