Position Summary:
Under the direction of the Administrative Officer, the Clinic Administrator is responsible for the administrative operations of the

PsychoEducational & Counselling Clinic

(Clinic) and

Assessment Materials Resource Centre (AMRC)

the unit's professional programs teaching laboratory and resource loan center. These include finances, human resources and space. Responsible for providing administrative support to multiple projects (from conceptualization to implementation) related to the unit professional graduate programs.

Plans, develops and implements administrative procedures, policies and processes to support the delivery of services in the Clinic in collaboration with academic leads, such as Clinic Director, Graduate Program Director and Committee leads.

Sets standards for service level; provides guidance to support staff.


Primary Responsibilities:

  • Responsible for the daily administration of the operations of the Clinic and AMRC.
  • Directly supervises, provides guidance, and assigns work to support staff;
  • Responsible for internal and external communications of the Clinic and AMRC related matters to stakeholders (clinical students, clinical staff and faculty) to ensure integrity and consistency of web content, training materials and other promotional materials;
  • Serves as a liaison between graduate program director of unit professional programs, clinic director, and academic leads to ensure administrative processes in place are in line with the Order of Psychologists of Quebec (OPQ);
  • Ensures customer service standards are met and/or exceeded relative to clinic clientele including management of requests for service/waitlists base on norms set by Clinic Director;
  • Ensures appropriate tracking of active clinic client files in collaboration with clinical teaching staff as established by Clinic Director;
  • Oversees electronic client file archiving and storage on unit servers in accordance with the Order of Psychologists of Quebec (OPQ) standards;
  • Participates in onboarding of clinical teaching staff on policies and procedures and administrative requirements of clinical courses resourced by Clinic and AMRC;
  • Collaborates with IT Administrator to ensure appropriate groups are allocated security roles and works on system issues and banner synchronization issues;
  • Ensures equipment needs are met and resources maintained;
  • Prepares regular financial reports, providing a detailed analysis of annual expenditures as they relate to Clinic and AMRC; Identifies trends and forecast needs, based on previous year's expenditures.
  • Develops and oversees the updating and maintenance of data to set annual student tuition fees based on course curriculum in consultation with academic leads for Fee Advisory Committee;
  • Ensures course AMRC inventory needs are met (physical and online assessments, manuals, protocols) and interdepartmental billing is performed regularly;
  • Ensures appropriate oversight of Clinic Fee Policy and ensuring financial transactions are done in accordance with standards by student trainees and tracking monitored by clinical teaching staff.
  • Oversees the racking and reconciliation of orders with vendors to ensure training facility discounts applied.
  • Responsible for clinical student data collection on graduate student activities related to their clinical training and progression;
  • Prepares data for inclusion in reports for program accrediting bodies (Order of Psychologists of Quebec (OPQ) and Canadian Psychological Association (CPA)).
  • Performs other related duties and works on special projects as required.
