Who you are:


The Executive Assistant, Capital Markets | Canada, will provide day-to-day support to the President, Capital Markets | Canada, and the Capital Markets | Canada team on a national scale.

Reporting directly to the President, Capital Markets | Canada, you will act as the primary point of contact for internal and external stakeholders on all matters pertaining to Capital Markets | Canada and will serve as a liaison to the senior leaders on the team.

You are solutions-oriented, creative, and enjoy working in an entrepreneurial environment that is client-driven, results-oriented, collaborative, and fast moving.

You can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, negotiation, and organizational skills, all while managing competing deadlines.


What you bring- Minimum 3+ years Executive Assistant experience within a corporate and/or B2B sales, commercial real estate/real estate, or banking environment.- Vocational training/associate degree/diploma/certification in Business Administration or related field preferred.- Advance knowledge of all Microsoft Office programs (Word, Excel, PowerPoint, and Outlook)- Ability to process instructions and efficiently complete projects from start to finish on time, meeting critical results, including coordinating critical leadership sessions.- Strong focus on business partnership and high degree of discretion and confidentiality.- Ability to deliver excellent customer service at all levels of the organization and with external partners.- Team oriented, with the ability to build consensus and effective relationships in a cohesive business environment.

What success looks like:

  • You will provide support to the senior executives, enabling them to function efficiently.
  • You will work closely with the President on developing and maintaining updated client lists in CRM+; distributes as required for various initiatives.
  • You will plan travel for executives and visitors: Organize transportation, hotels, visas, travel tools, travel membership accounts, prepare materials for trips i.e., org charts/employee databases, etc.
  • You will coordinate meetings, conference calls, and schedules activities such as internal conferences and department meetings led by the President. This will include organizing the facility arrangements, catering/refreshments, taking minutes and following up on any deliverables.
  • You will collaborate closely with the Canadian leadership team and offices across Canada with respect to projects, meetings, presentations etc. on behalf of the Capital Markets team.
  • You will coordinate meetings, organizes and schedules large and complex activities such as crossfunctional events, client events, business travel, conferences, and department activities.
  • You will prepare general correspondence, communications, and reports, ensuring an effective communication flow between the senior leaders and Capital Markets | Canada team.
  • You will Identify and implement processes to improve workflow, organization, and communication. Serves as a primary point of contact to distribute material and communicate standard operating procedures.
  • You will organize and maintain filing system(s). Responds to phone calls and written requests for information. Research issues and gathers information.
